Assistant Programme Manager (2 posts)

Reports to: Business Support Team Manager

Department/location: NIHR Central Commissioning Facility, Grant Management Group (GMG), Twickenham

Job purpose:

The National Institute of Health Research Central Commissioning Facility (NIHR CCF) based at LGC Ltd www.lgcgroup.com manages a number of research funding programmes on behalf of the Department of Health with a total annual value in excess of £375 million.

We are seeking 2 Assistant Programme Managers to join the Business Support Team, a newly formed team that supports GMG colleagues with their management of funding programmes. A significant element of the role is to provide administrative support for the commissioning of new awards, in particular management of the peer review process for applications received.

The post-holders shall support colleagues across GMG, at first principally the Research Programmes Directorate, who have responsibility for managing 3 funding programmes:

The role involves interacting with a broad range of people at all levels of seniority, including members the NIHR, Department of Health, academia and the clinical community.

Key result areas:

  • Delivery of the processes associated with the commissioning of new awards, including, but not limited to:
    • Receiving and checking applications submitted through the online research management system
    • Managing the peer review process for applications, including identifying suitable reviewers, inviting them to review and ensuring their comments are received within agreed timescales
    • Managing applicant responses to peer reviewer comments
    • Organising committee meetings including liaising with members to ensure their attendance, preparation of meeting documentation and, receipt and review of members’ assessments of applications
    • Attending committee meetings and assisting with minute taking
    • Preparation and dispatch of notification of outcome letters to applicants and other post-meeting tasks
    • Assisting with the contracting procedures for funded projects
    • Providing support to Programme Managers and Senior Programme Managers conducting post-award monitoring, notably:
  • Maintaining electronic and paper records for project files
  • Requesting interim and final progress reports
  • Overseeing the distribution and receipt of annual financial statements
  • Reviewing and processing publications and other outputs
  • Assisting with information requests – such as Parliamentary Questions, ministerial briefings etc. – while ensuring that tight deadlines are met
  • Acting as a key contact point for enquiries about funding schemes
  • Regular liaison with Programme Directors, Committee Chairs and members, the research community and other stakeholders
  • Operating as a flexible resource providing GMG-wide support as required
  • Travel to meetings around England may be necessary
