Executive Officer

University of Oxford - Academic Administration Division, Examination Schools

High Street, Oxford

This post offers an exciting opportunity to be involved at the centre of the Division’s business in a busy and challenging environment, working closely with colleagues across the AAD and the wider University. Reporting jointly to the Director of Student Registry, Director of Student Affairs, and the Administrative Manager, it will suit a flexible and experienced officer who enjoys being part of a small team.

The postholder’s primary role will be to provide professional and proactive executive and project management support to the Directors. The role will include a significant amount of project management work operating across the University remit; responsibility for coordination and tracking workflow; preparation of agendas, minutes, reports and management information; managing electronic diaries and tasks; and making arrangements for meetings, visits, and travel. The post holder will also support the Central Administrative Support Team and have line management responsibility for one member of staff.

A graduate or equivalent, you will possess strong literacy and numeracy skills to collate and analyse data, write supporting materials, and collaborate effectively with colleagues across the University. You will have experience of providing professional executive support at a senior level and be well organised, methodical, and with excellent attention to detail. The postholder will have daily contact with senior colleagues, often in circumstances of strict confidentiality. Excellent communication skills, tact and discretion are vital in this role, as is the ability to remain calm under pressure and to approach work with a positive attitude.

Please be aware that we are also advertising for a Grade 6 Administrative Manager role within the same team.

For an informal discussion about either role, please contact Jackie Hoyle, Director of Student Registry, email: Jackie.Hoyle@admin.ox.ac.uk.

Please note that the closing date for applications is 12.00 noon on 20 October 2016.
