The role

The Operations Manager is a central position within the London School of Architecture, engaging with stakeholders at every level, providing comprehensive administrative support, and implementing our day-to-day running. We are seeking someone exceptional, committed and enthusiastic to join our dynamic team and make a critical contribution to our success.

Opening in October 2015, the London School of Architecture is a new school for a new century. Based at Somerset House in central London and currently with 60 enrolled students, we offer a two-year postgraduate programme validated by London Metropolitan University and delivered in partnership with over 50 architectural practices.

Key responsibilities

  • Ensure the effective and efficient administration of the programme, including the review and development of new working practices
  • Manage the school diary, make bookings for all spatial requirements, and communicate the diary to all stakeholders
  • Liaise with faculty to identify any timetabling issues and improve performance
  • Be responsible for the administration of student recruitment and appropriate admissions procedures, student induction and orientation, and student examination and progression
  • Manage all relevant telephone, email, face-to-face and postal enquiries relating from students, staff, stakeholders and visitors
  • In collaboration with the Deputy Director provide advice and support to students on matters relating to their programme
  • Be responsible for the day-to-day management of digital records
  • Co-ordinate the academic process of student submissions, evaluation and feedback. Ensure all relevant documentation is appropriately disseminated and collected
  • Provide administrative support and contribute to formal programme committees/meetings, subject examination committees, annual reviews and other associated meetings for the relevant programmes, including: liaison with relevant personnel; preparation and distribution of agendas; taking minutes and producing associated documentation
  • Liaise with accountants with regards to: issuing invoices; payment of outgoing invoices; student fees collection
  • Liaise with relevant external partners including collaborative provision, placement partners, external examiners, and professional statutory and regulatory bodies
  • Help arrange social activities and other events throughout the year
  • Support the Directors with the preparation of documentation and coordinate logistics

  • Significant administrative experience
  • The ability to forward plan and a tenacious grip on detail
  • The ability to work autonomously without supervision
  • Strong interpersonal and communication skills
  • An ability to manage sensitive information
  • Flexible and agile approach to working
  • Experience in organising, prioritising and managing time effectively
  • Minute-taking experience

IT skills

  • Microsoft Office
  • Adobe package (Acrobat, InDesign, Photoshop)
  • Google docs
  • Familiarity with Trello and Slack
