We are looking for an experienced Personal Assistant to provide pro-active secretarial and administrative support to the Co-Director of the Dr Foster Unit across the full range of his activities, ensuring the office runs smoothly and professionally. The post holder will also provide admin support and guidance to the Dr Foster Unit team (currently 15 staff and PhD students based on 3 sites) and work on ad hoc projects as needed.
The post holder will be responsible for supporting the Co-Director, who is responsible for the operational management of the unit, in the administrative details of managing staff and the day-to-day running of the unit, as well as in his various research and teaching roles. The post holder is responsible for managing the Co-Director’s diary and emails, arranging travel and meetings, minute taking and circulation, collating and editing funder reports, updating and writing web pages, purchasing, recruitment and financially managing grants held within the Unit. The post holder is also involved in research projects within the Unit and liaises daily with funders. The role is a key link between the Unit, the Department and Imperial College as the Unit is not located on an Imperial campus.
The successful candidate should hold an undergraduate degree or equivalent. Excellent written and verbal communication skills, the ability to prioritise tasks, work under pressure and efficiently manage workload to meet deadlines while maintaining a high level of accuracy are essential. The post holder should have experience in dealing with confidential situations and information with tact and diplomacy, as well as Personal Assistant experience in a similar role.
The post is full time and fixed-term until 31 May 2018 in the first instance. The post-holder will be based at the Dr Foster Unit, located near Blackfriars.
