Person specification:

A thorough understanding of all aspects of the student-related academic cycle in higher education and related administrative processes;

Excellent face-to-face, email and telephone skills, communicating with careful explanation with students, staff and external parties;

An ability to respond with compassion and understanding to students in distress and refer cases to other services when appropriate;

An ability to work collaboratively with colleagues within the Department and from the central administrative team and different areas of the University;

A service-oriented approach;

A high level of personal effectiveness in the workplace, including the ability to work efficiently under pressure, be pro-active, problem solve and prioritise effectively;

High level of computer literacy in MS Office applications including Word, Excel, Outlook and a willingness to learn and use new software programmes;

Some experience of using Management Information Systems (Student Records, Online Module Selection and Syllabus Plus) to collate and disseminate data.


Provide front-line support in the Academic Department, handling enquiries relating to academic programmes, offering advice and guidance to staff and students;

To assist the work of the team in maintaining paper and electronic records as required for the department, including student and staff files, and maintaining an archive of departmental publications and handbooks, programme and module information, records of student assessment processes and records of departmental meetings;

To ensure that University policies and procedures are adhered to in the Department;

To assist with student recruitment, admissions and assessment procedures and taking an active role in pre-registration, registration and induction;

To assist programme assessment including coursework hand-ins, production of exam papers, liaison with external examiners;

To work as part of the local Department and central student support administrative team to ensure an efficient and effective service delivery;

To assist in the servicing of Programme Boards and Department Committees, and other meetings as required, including but not limited to, booking rooms, arranging catering, compiling agendas, generating and circulating papers, taking minutes, overseeing follow-up actions, and liaising with a range of staff across the University and externally as appropriate;

To gather and disseminate information on request from the Academic Services Manager, Head of Department, and Programme Convenors;

To process day-to-day financial requests from the Department staff including procurement of consumables, raising purchase orders, maintaining stock levels;

To provide local support in regards to all Department resources, liaising with colleagues in other University departments such as IT helpdesk, Property and Facilities, when necessary.
