About the team/job

The European Molecular Biology Laboratory (EMBL) is an international life sciences research organization with its main laboratory situated in Heidelberg, Germany and five laboratories elsewhere in Europe. In Grenoble, France, EMBL employs approx. 90 people and has a world-wide reputation for research and service activities in structural molecular biology. It shares the European Photon and Neutron Campus with two other international organizations, the European Synchrotron Radiation Facility and the Institut Laue Langevin (ILL) as well as the French Institut de Biologie Structurale. EMBL Grenoble is seeking an Administrative Officer to work within the local administrative services team.

Your role

  • Arranging and checking the logistics of meetings, seminars, workshops, conferences, training courses, and visiting scientists.
  • Managing the Head of EMBL Grenoble’s diary ensuring that all necessary information/documentation is provided well in advance of meetings.
  • Making travel arrangements for the all EMBL Grenoble staff and visitors and processes travel reimbursements on SAP.
  • Managing budget follow-up for events and credit card reconciliation.
  • Organising the library, maintenance of library catalogue and e-journals, book ordering and archiving.
  • Provide a functional back up and support to Liaison and Purchase Officers.
  • Preparing correspondence and all kind of secretarial services.

This opportunity will suit highly motivated professionals who can demonstrate a high level of professionalism, technological awareness, ability to develop strong partnerships and a track record of delivering in a multicultural environment. S/he holds a comprehensive training in administration and ideally several years of working experience in administration.

The applicant should demonstrate a conscientious attitude, the ability to prioritize tasks and work independently in his/her area of responsibility, yet seeking guidance when required. He/she should integrate and work well in a highly motivated, fast paced team. S/he will possess strong interpersonal and communication skills, high customer service orientation as well as excellent organisational skills. The person appointed will be expected to be flexible and to be able to work to tight deadlines when required, while remaining friendly and helpful at all times. In addition to fluency in written and spoken English, an excellent working knowledge of French is essential. Strong skills in commonly used office software are required, e.g. MS Office. 

You might also have

Previous work experience with database management and SAP would be an advantage.
