JOB OVERVIEW

The Registry & Operations Officer (Scheduling and Systems) is a key role within the Registry & Operations Team ensuring that student attendance is recorded accurately and support with the coordination of the planning and distribution of timetables. The Registry & Operations Officer (Scheduling and Systems) will ensure that student data is maintained and accurate and provide support with data requests to key stakeholders.  The post holder will also support the Assessment Team during assessment periods.  

In addition, the post holder will also assist with registration and induction activities and other events, assist with activities in relation to visa and compliance requirements, provide support on the Student Support Helpdesk and assist the Professional Services Team as required. 

KEY RESPONSIBILITIES

  • To support the Registry & Operations Coordinator (Scheduling & Systems) with the timely production and distribution of student timetables each term
  • To conduct missing register checks and manage the process for class cancellations.
  • To assist in the maintenance of student data, keeping student records accurate and up-to-date
  • To support with the provision of data requests, by Teesside University, Study Group and the Management Team, or other key stakeholders
  • To support with uploading, updating and maintaining information on Teesside University systems
  • To assist the Assessment Team with exams and assessment-related tasks during assessment
  • To assist with the processing of sessional staff timesheets
  • Assisting with DSE Assessment
  • Health and safety policy implementation along with the Head of Registry and Operations
  • Ensuring the Centre has adequate furniture and classroom provision for the teaching of its students by ensuring termly audit checks are carried out
  • Assisting with the invoice coding process to ensure that supplier invoices are paid in a timely manner
  • To provide student-facing advice and support at the Student Services Helpdesk
  • To provide support at meetings as required, producing agendas and minutes
  • To produce and maintain detailed process guides
  • To assist with registration, induction and arrivals, which will include evening and weekend work during these periods
  • To promote and safeguard the welfare of students, with particular regard for under 18’s
  • To assist activities in relation to visa and compliance requirements
  • To foster productive relationships with the student body and other members of staff
  • To provide support with events and attend as required
  • To provide general administrative support for the centre as required and cover administration duties for other members of staff when absent and during peak periods

EXPERIENCE

  • Level 3 qualification (Desirable)
  • Experience of working in administration (Essential)
  • Experience in working with database systems and data inputting (Essential)
  • Experience of working in a pressurised environment (Essential)
  • Experience of student attendance processes (Desirable)
  • Experience in financial administration (Desirable)
  • Experience of working with students in an education environment (Desirable)
