Production Manager

Kaplan International Pathways

As part of the global projects team, reporting to the Global Projects Manager, the Production Manager will oversee all requests that come into the studio, managing deadlines, workloads and priorities. There will be several projects throughout the year that the Production Manager will lead on, including the annual brochure, working closely with senior stakeholders within the marketing department and throughout the organisation. This role requires someone with the ability to keep things organised, work well under pressure and who can cope in a very fast moving environment.

Main responsibilities and functions

  • Oversee and own resource planning and scheduling on projects that span across design, written content, video, photography and social media
  • Manage requests from stakeholders; assigning projects to team members
  • Estimate time required to complete creative tasks, managing stakeholder expectations and their deadlines accordingly
  • Interrogate briefs; you understand what makes a good brief and what is required to be able to get started on a task to ensure the team have everything they need to complete a job
  • Some proofreading and general Quality Control
  • Prioritisation of workloads across the global projects team and creative resources
  • Supporting regional teams where required as well as the Sales team
  • Implement and maintain processes for efficient production
  • Own the job management Trello board and be the go-to person for new requests
  • Organise folders and files on the server in a logical and efficient manner, using job numbers and correct naming conventions
  • Report on the output of the team, providing updates to the rest of the marketing department
  • Manage warehouse logistics, staying on top of stock numbers and clearing out redundant stock
  • Manage relevant invoices and process with approval from the Head of Design and Content Marketing
  • Identifying opportunities to improve processes and develop efficiencies
  • Annual production management of the price list, working with different departments at all stages of production
  • Annual production management of the brochure, which includes:
    • Plan and stay on top of a timeline for the project, looking for efficiencies and managing stakeholders to ensure everyone is aware of deadlines
    • Gather feedback, insight and input from senior marketing and sales staff throughout the business
    • Brief copywriters and designers on requirements
    • Be the keeper of knowledge for the brochure, having a comprehensive understanding of our product
    • Manage the printers, getting quotes from multiple sources, ensuring the highest possible quality within the budget and negotiating for better rates
    • Manage the translation process of the brochure, including management of external suppliers
    • Identify freelance needs in each department to ensure projects are run to time and budget

Candidate profile

  • Experience using project management platforms such as Trello, Basecamp, or similar
  • An understanding of the full creative process across design (digital and print), content and copywriting, video, photography and social media
  • Experience in daily and longer term project planning and resourcing
  • Incredibly organised with a high attention to detail – you won’t miss a beat
  • A talented multi-tasker, you will be able to manage multiple projects and tasks at once
  • Have the ability to work effectively under pressure in a demanding fast paced environment
  • Problem solving and having a solution-oriented response to challenges should come naturally to you
  • Demonstrable experience managing large scale print production projects
  • A calm diplomatic approach
  • An excellent people person, you will place emphasis on customer service and upholding a high standard of satisfaction, whilst still being able to negotiate and persuade suppliers and colleagues at all levels
  • Integral to this role will be for the candidate to have the ability to interact with Senior Management, creatives, developers and people from a diverse range of cultural backgrounds to determine creative and technical requirements of projects
  • The ability to focus on delivering high quality work and service to team members
  • Creatively minded, you will understand the creative process from start to finish
  • Proven in implementing and monitoring processes
  • Some knowledge and experience with the Adobe Creative Cloud (InDesign, Photoshop, Illustrator)
  • A master of MS Office, including Outlook, Word, Excel, PowerPoint and Project
  • Both Mac and PC literate
  • Experience as production manager or a similar role in a production environment is an advantage
