Join our busy and friendly Conference team as our Event Services Co-ordinator. As the main contact between the Conference Office, clients, and operational teams, you will ensure that the operational service requirements of the events on campus are resourced and carried out as required.
You will provide clients with the necessary guidance and support both prior to and during their events and ensure they receive a “great” service experience which they will remember and will encourage repeat business and recommendation of our services.
If you have recent experience of event services co-ordination in a large-scale venue, good IT skills and the ability to work weekends and unsocial hours as and when required, this role is ideal for you.

As Event Services Co-ordinator you will:
Meet with all major clients and take them through their event in detail and meet regularly with the Event Co-ordinators to thoroughly review all events.
Meet annually with catering operations management and agree the function and on-line delivered catering menu items for the coming year. Liaise with the Marketing team to produce menu designs. Ensure the menu items are priced and entered onto the catering software correctly and that all items bookable on-line are published on the web based “Delivered Catering” software.
Assist the Event Co-ordinators in promoting existing and new facilities/services offered by the conference office to internal and external clients both in person and via a range of media. This will involve making verbal and written presentations to individuals and groups who will be “decision makers” responsible for placing an event with the university.
During vacation, lead the business meetings attended by Commercial Services staff and ensure the key personnel in Catering, Housekeeping, Reception and other operational departments such as Estates and Information Services are fully aware of the client’s requirements and expectations.
Manage the database of clients and companies.
What we are looking for in the right candidate:
Recent experience of Event Services Co-ordination gained in large scale venue operating high volume food and beverage services
The ability to plan, service and project manage a wide range of commercial events
Flexibility to work weekends and unsocial hours as and when required
Computer literacy and a good knowledge of Microsoft Office and its various applications
GCSE English and Maths or equivalent with excellent numeracy/accuracy skills and an awareness of financial procedures and VAT
