Role Purpose

To create a welcoming and friendly reception offering support to staff, students and visitors. To provide clerical supportto administrative staffinvolved in the delivery of fit for purpose degree programmes.

Principal Duties

  • Act as a first point of contact for all visitors to the School, offering advice and guidance as required;
  • Act as a source of information to students on course requirements and general support services available within the University;
  • Responsible for the main School ‘phone line and general School email address, fielding calls and responding or forwarding emails as necessary;
  • Setting up a single point for the delivery and collection of internal & external mail for the School, and distributing or re-directing mail as appropriate;
  • Creating new student files and taking responsibility for the maintenance and archiving of all studentfiles in an organised andsystematic manner;responsible for general office filing;
  • Receiving and processing student assessments and coursework;
  • Ensuring examination scripts are anonymised;
  • Undertaking general maintenance of the foyer areas of both the Carnegie Building and Nos 1-3 Perth Road, ensuring that information posted on noticeboards is current and is available to students in an organised manner. Undertaking plant-watering and general housekeeping duties to ensure allfoyer areas are welcoming and attractive at all times.
  • Responsible for keys belonging to both buildings and maintaining key logs.
  • Reporting any faults within the buildings to the relevant authorities;
  • Requisitioning on behalf of the School, processing approved orders including travel requests upon receipt of authorised requisition forms. Placing stationery orders and maintaining supplies of stationery as required;
  • Assisting with the monitoring of student attendance by logging absences in SEAtS;
  • Assisting with module enrolments;
  • Assisting with processing ethics approvals;
  • Approving local room booking requests;
  • Processing student absence request forms;
  • Co-ordinating the door-access systems and access rights for School buildings;
  • Supporting events such as matriculation, induction programmes, graduation & prize- giving;
  • Undertaking any other clerical or secretarial duties as required by the School Office Manager in order to support the running of the School Office.

Summary of Skills, Experience and Qualifications Qualifications

  • GCE/GCSE/O/Standard Grades Work Experience Essential
  • Of carrying out a similar role whereby you were tasked with creating a friendly and helpful reception environment Desired • Of working with international students
  • An understanding of the UKVI requirements for students on Tier 4 Visas Personal Qualities and Abilities Essential
  • Excellent communication skills • Ability to interact positively with people at all levels in an academic environment
  • Patience to advise and support students whose first language is not English
  • Ability to work as part of a team
  • Ability to work under pressure in a busy reception environment Further information:
