The Department:

The Department of Applied Mathematics and Theoretical Physics (DAMTP) is a large department with around 50 academic staff, 100 contract research staff and a team of 25 professional services staff. DAMTP sits in the Faculty of Mathematics with the Department of Pure Mathematics and Mathematical Statistics (DPMMS) and some professional service operations are shared across both departments. This role is in the Undergraduate Office, which works closely with these shared services, the two Departmental finance offices, and many offices and individuals across the collegiate University. 

The Role:

This role is part of a team of dedicated administrators whose focus is on providing high-quality support for all aspects of undergraduate education at the Faculty of Mathematics.

The Faculty is one of the largest in the University, admitting 250 undergraduate students each year. Reporting to the Undergraduate Office Manager, the successful candidate will work collaboratively with the Undergraduate Office team to support course and examination administration for the Mathematical Tripos. In addition, the team supports administration for Part III Mathematics and Mathematics in the Natural Sciences Tripos. There are over 1500 students across the courses.

The Undergraduate Office operates as the Faculty's examinations office for taught programmes (undergraduate and taught masters). It supports the delivery of more than 100 written examinations each year, 70-80 of which are implemented on site. This involves on-the-day operations, the management of student scripts, the recruitment of a large team of temporary exam workers, and processing exam payments. 

About You:

We invite applications from individuals who have:

- experience in an administrative environment, including maintaining office systems and following office procedures

- excellent organisational skills and attention to detail

- excellent communication skills, with the ability to exercise tact and diplomacy

- the ability to thrive in a team environment and the skills needed to interact with a range of professional service staff, academics, and students (both current and prospective)

- confidence with standard software packages (e.g. Word, Excel, Outlook), and experience or willingness to learn to use University- and office-specific software.

During peak examination times, the role holder will need to be in the office full time, usually including some Bank Holiday working. At other times, there is scope to work in a hybrid way, in consultation with the Undergraduate Office Manager.
