The role

The Gift Administration Assistant is an integral part of the Global Engagement team at The University of Bristol, supporting the Philanthropic Income Manager. They are responsible for accurately processing and tracking donations, disbursing funds, and delivering exceptional service to donors.

The role involves close collaboration with colleagues across departments, including finance, Supporter Services, and the broader Global Engagement Division, to ensure efficient processes, prioritising a great donor experience. This position is perfect for someone detail-oriented with strong analytical skills who thrives in a fast-paced environment.

What will you be doing?

Donation Processing: Monitor bank accounts and payment platforms to ensure donations are processed accurately and on time. Collaborate with the Philanthropy Office to ensure funds are correctly received, recorded, and distributed.

Reconciliation & Financial Disbursement: Conduct monthly reconciliations to align bank records and payment provider statements with internal systems, to ensure accurate and timely fund disbursement across the University, collaborating with central finance teams.

Direct Debit & BACS Management: Handle Direct Debit and BACS transactions, including updates and monthly collections, to ensure smooth financial operations.

Database & Compliance: Maintain donation records using The Raiser’s Edge NXT, manage queries professionally, and stay updated on compliance regulations like PCI DSS and Data Protection.

Query Handling: Manage a shared inbox, responding to internal and as well as donor queries with professionalism.

You should apply if

  • You have experience in a financial or administrative role, especially in reconciling financial data.
  • You possess strong analytical skills and enjoy solving complex problems.
  • You are highly organized and can manage competing deadlines independently.
  • You are proficient in Microsoft Office and eager to learn new tools and procedures.
  • Experience with Blackbaud products, especially The Raiser’s Edge NXT, in a charity or educational environment would be desirable.
