About the Role
Joining the iSolutions directorate at the University of Southampton offers an exciting opportunity. In this role, you will work within the Administration team to provide high-quality, flexible administrative services to both internal and external customers. The position is fast-paced and varied, with each day presenting new challenges.
What you’ll do
- Provide diverse and flexible administrative support to iSolutions and its Senior Leadership team as needed.
- Manage and organise events, including booking venues, liaising with appropriate key stakeholder groups, and managing hospitality and visitor arrangements.
- Maintain internal databases, directories, and data.
- Book travel arrangements, conferences, or training for iSolutions staff
- Regularly review and improve internal administrative procedures and processes to ensure they are efficient and fit for purpose, implementing agreed changes as needed.
- Provide confidential administrative services, including diary coordination, meeting arrangements, minute-taking, addressing enquiries, and drafting and issuing documentation, while attending meetings as needed.
- Administer Business World financial processes and support management with budget monitoring processes.
- Manage internal recharging processes in consultation with the Finance Business Partner.
- Process invoices and orders, raise requisitions, liaise with Finance, and work within financial regulations.
- Manage HR processes and procedures with the HR Business Partner to ensure compliance with University or Departmental policies and systems, maintaining accurate records as appropriate.
- Provision of initial guidance on HR processes and queries to managers and staff
- Monitoring and tracking of probation and appraisal processes
- Administer Staff Achievement Awards, Long Service Awards and other similar activities
- Manage office supplies and equipment, anticipating requirements for new staff, including stationery, keys, furniture, telephony, passes etc.
What you’ll bring
- Able to plan and prioritise a range of standard and non-standard work activities and effectively meet deadlines.
- Financial administration/budget monitoring experience
- The integrity required to work with both commercially sensitive and personally identifiable information.
- Able to deal with sensitive information confidentially.
- Ability to prepare and present written and/or verbal information clearly and concisely to students and staff.
