Role Purpose

The Admissions Officer will work as part of the admission team and have responsibility for the recruitment of high calibre students from the UK and overseas for our portfolio of world class programmes by delivering operationally excellent processes and providing a high level of customer service to prospective students at every stage of the application process. The role will also have responsibility for meeting the Institutions student recruitment targets.

Role And Responsibilities:Application Processing, Student Selection and Recruitment

  • Receiving and checking application forms, ensuring the completeness of data and following up on any incomplete applications with the candidates.
  • Assessing candidates’ academic qualifications and advising the student selection process on the equivalency of international degrees.
  • Making initial decisions on candidates’ suitability for their chosen programme in line with the Institutes eligibility criteria and agreed target cohort profiles.
  • Updating candidates’ records throughout the application process using the Institutes Admissions System.
  • Informing candidates of their application outcomes and liaising with Registry regarding the details of formal offers of admission.
  • Liaising with the Academic Coordinators to arrange Hub access for new students.
  • throughout the summer.
  • Developing efficient and customer-focused admissions procedures.
  • Liaising with the Admissions colleagues and academic staff on the selection of students for the Institutes academic scholarships.
  • Upholding the School’s admissions policies consistently and fairly across all applications.
  • Reporting and Analysis.
  • Preparing statistical reports on application numbers and trends.
  • To keep abreast of the postgraduate market to benchmark the programme against key competitors in terms of tuition fees, class sizes and programme content.
  • Testing and providing feedback on admissions systems developments.
  • Representing the Institute as required at recruitment events, such as postgraduate fairs and open days.
  • Participating in online and on-campus information sessions for prospective students.
  • Share best practice and contribute to improvements across the Admissions Team.
  • Undertaking other administrative and clerical duties as directed by the Academic Registrar
  • Building and maintaining relationships with other areas of the Institute including the Programme Teams, the Marketing Team, the Alumni Relations/Memberships Team and the Career and Professional Development Service.
  • Keeping skills up-to-date and developing expertise in the key areas of the role.
  • Improving professional capability and expertise through appropriate development and professional activity.

Communications

  • Acting as the first point of contact for enquiries from prospective students, through Quercus, by email, telephone and in person.
  • Recording details of high calibre enquirers on the CRM database and updating CRM records throughout the admissions process.
  • Advising applicants on all aspects of the admissions process, the suitability of their qualifications, and programme details.
  • Building and maintaining relationships with prospective students by dealing with all enquiries promptly and professionally and aiding the conversion of high quality applicants.
  • Updating, maintaining and developing standard admissions correspondence.
  • Liaising with internal and external stakeholders to ensure that applications are handled in a professional and timely manner and in accordance with the Institutes regulations.
  • Coordinating email campaigns to specific groups of applicants – for example: encouraging offer response, completion of outstanding conditions and registration and giving key information to incoming students.
  • Creating and circulating online surveys to collect data from applicants and students to inform the Institutes admissions, recruitment and marketing strategies.
  • Maintaining relevant areas of the website as directed by the Academic Registrar and the Admissions colleagues.
  • Creating and coordinating offer holder social media groups and working collaboratively with colleagues in the Recruitment Marketing Team, Programmes Marketing Team and Marketing/Innovation Team to deliver relevant content to support offer holder conversion.

Essential Skills and Experience

  • Educated to first degree (or equivalent standard) and/or proven experience at a similar level.
  • Administrative work experience in Higher Education or a similar customer-focused sector in previous relevant role(s).
  • Experience of providing a responsive, customer-focused service – on the telephone, via electronic medium or face-to-face.
  • Experience of prioritising tasks and of managing busy workloads successfully to ensure that deadlines are met.
  • Proven experience as a cooperative team member who can also work independently.
  • Experience of working in an Admissions Team or similar relevant area (e.g. student recruitment or student services).
  • Experience of using databases to store, manipulate and retrieve information.
  • Broad knowledge of, and an interest in Higher Education.
  • Excellent customer service skills.
  • First-rate written and oral communications skills.
  • Meticulous and very well-structured administrative skills.
  • A high level of accuracy and attention to detail.
  • The ability to assess and analyse problems and suggest solutions.
  • Good IT skills: MS Office (Word, Excel, Access, PowerPoint), email (Outlook) and the ability to learn and use other software packages.
  • Flexibility and a capacity to adapt to the changing demands of the job and the needs of the team.
  • Respect for confidentiality, including the integrity and sensitivity of records.
  • Awareness of and sensitivity to equality and diversity.
  • Good numeracy skills.
  • Strong IT skills, particularly in the use of Excel functions.
  • Experience of conducting data analysis.
  • Excellent relationship building skills.
  • Championing a positive approach to equality and diversity.
  • Proactive attitude to suggesting improvements to working processes and practices.
