We are seeking a highly organised and responsible Personal Assistant to provide support to Professor Claire Smith, Deputy Pro-Vice Chancellor Education and Innovation. Your responsibilities will include managing calendars, coordinating meetings and appointments, arranging travel and accommodations, and preparing correspondence and reports. You will be the point of contact for telephone calls and emails, demonstrating exceptional communication skills and a professional telephone manner.
Collaboration is at the heart of this role, as you will liaise with colleagues in the VCO and Executive Assistants across the university. You will work individually and as part of the VCO Team. You will have the opportunity to attend meetings, record minutes, and follow up on action items, supporting the Deputy Pro-Vice Chancellor in achieving the University’s strategic objectives.
This position offers a unique opportunity to work closely with senior leaders and build relationships across the University and with external stakeholders. The ideal candidate will have a good secondary education combined with appropriate professional training and qualifications or relevant level of experience. You should have exceptional organisational and diary management skills, high levels of flexibility and adaptability, and flawless communication and presentation skills, both written and verbal.
You should be able to multitask and prioritise an ever-changing workload, work under pressure and reach deadlines, and have problem-solving and decision-making skills. You should be able to work autonomously, determine which emails, reports, telephone calls, etc. need to be escalated and which do not, and communicate with and present to senior leaders.
