The role

An exciting opportunity has arisen for an experienced and enthusiastic Senior Executive Assistant to join the Bristol Medical School Professional Services team within Population Health Sciences (PHS) based in Canynge Hall and Oakfield House.

The postholder will provide day-to-day management and direct support to Senior Leaders who may be academics, or professionals (surgeons or managers) to ensure the efficient and effective operation of the Bristol Centre for Surgical Research (CSR) and be an integral part of the NIHR Bristol Biomedical Research Centre (BRC), which includes attending meetings and assisting with high level admin tasks, such as gathering financial information for annual reports.

What will you be doing?

Will determine priority issues for the Senior leaders by actively managing the diary, expediting or slowing meetings/activities as judged appropriately, using initiative to research or source information, acting upon communications by delegation of tasks away from the Senior staff.

Duties include drafting reports for the BOASTiC (BrSTC) course for Royal College of Surgeons, keeping BrSTC trials portfolio and publication databases up to date, updating the Bristol Medical School/SharePoint sites for Centre for Surgical Research (CSR)/Biomedical Research Centre (BRC)/Translational Research Centre (TRC), arranging transcription of qualitative interviews and supporting the strategy for the CSR and BRC, leading projects related to these and contributing to School projects and initiatives.

You should apply if

  • You have proven administrative experience working in busy and demanding environments.
  • Excellent IT Skills, to include web content management systems and general office systems.
  • Able to manage information electronically through databases and spreadsheets, such as budgets.
  • Able to work under pressure; produce accurate work to deadlines, with excellent attention to detail, excellent organisational skills, flexibility and initiative, able to prioritise own work and manage changing priorities as part of a diverse, busy workload.
  • Event management experience.
  • Experience of working autonomously with little supervision, responding independently, dealing with unforeseen problems and circumstances in a calm manner.
  • Excellent written and verbal communication skills dealing with a wide range of contacts.
  • Able to draft documentation on behalf of a senior manager.
  • Experience of working in a team, of scheduling, monitoring and reviewing the work of others, proven ability to develop excellent working relationships and interact effectively at all levels, with a wide range of internal and external contacts.
  • Tact, and a sensitivity to other points of view.
  • Able to deal with non-routine events as they occur, including urgent and non-urgent interruptions.
  • Able to interpret and adhere to relevant policies and procedures in own work (e.g. data protection, research ethics, local policies and procedures).
  • Responsive, flexible approach, and a commitment to providing a quality service.
  • A positive attitude to staff development and training.
