An exciting opportunity exists for an experienced and skilled individual to join the Faculty of Mathematics professional service team as Postgraduate Office Manager, responsible for leading a team of dedicated administrators focusing on the delivery of high-quality support for all aspects of postgraduate education. The post is fixed-term for 12 months or until the return of the post holder, whichever is earlier. 

At postgraduate level the Faculty of Mathematics currently offers two doctoral (PhD) programs, two MPhil programs and Part III of the Mathematical Tripos (MMath/MASt). The Postgraduate Office's work covers all aspects of the student journey from recruitment and application, support for course delivery and current students, to examination and award of degree - a busy and varied people-facing workload. The appointed candidate will need to develop an in-depth understanding of all aspects of operations to support and successfully lead the Postgraduate Office (PGO) team. 

Working closely with the Faculty's Deputy Departmental Administrator (Education) the PGO Manager assists in the conversion of postgraduate policy into procedure, embeds administrative best practice and supports the Faculty in responding to change. The role holder is expected to proactively line manage the Postgraduate Office team and the day-to-day office activity. They have responsibility for the development of working practices, the development of individuals and the quality of work delivered. 

The PGO Manager provides direct support to the Secretary to the Degree Committee and has delegated responsibility for the day-to-day fulfilment of many Degree Committee functions. They provide advice and support to the postgraduate Directors of Education and Course Directors and engage regularly with supervisors and other academic staff. 

The Postgraduate Office is one of the shared services supporting the Department of Applied Mathematics and Theoretical Physics and the Department of Pure Mathematics & Mathematical Statistics, working closely with the IT, HR, Facilities and Undergraduate Office shared services teams, two separate Departmental finance teams and many offices and individuals across the University. 

You will have: 

  • experience of first line management, ideally management of a small administrative team; 
  • the ability to successfully co-ordinate a diverse and busy workload, and to plan and organise your own work whilst directing the work of others; 
  • excellent interpersonal and communication skills, along with the ability to build and maintain co-operative relationships at all levels; 
  • the ability to thrive in a team environment and possess the skills needed to interact with a range of professional service staff, administrators, academics and postgraduate students. 

Experience of higher education administration and in particular postgraduate admissions and funding would be advantageous.
