Executive Assistant

Salary will be on UCL Grade 7 and inclusive of London Allowance.

The Institute of Education (IOE) Directorate is the senior strategic management team of the Institute. It is led by the Director and Pro-Directors, each of whom has a portfolio of Institute of Education (IOE)-wide responsibilities. The Director and some of the Pro-Directors also have UCL Vice-Provost roles and responsibilities. The Directorate sets, manages and monitors the overall strategic direction and operational plans for the Institute of Education (IOE), working with academic and professional team leads as appropriate.

The post holder will act as the first point of contact for designated Pro-Directors including dealing with telephone, e-mail enquiries and correspondence. Providing full administrative support, diary management, managing and co-ordinating travel and accommodation. Plan, co-ordinate and organize all internal and external meetings and visits.

The post holder will take minutes, prepare agendas, circulate papers and prepare reports for a range of UCL Institute of Education (IOE) Committees. The post holder will be expected to draft correspondence and complex documents, format reports, and coordinate briefings. The post holder will provide cover for the Executive Assistant to the Director of the UCL Institute of Education & Vice Provost (Academic Development and London).

The post holder will have excellent written and verbal communication skills, and a real understanding of the importance of confidentiality. The post holder will possess good levels of IT skills across all the standard packages and work well within a team, keeping calm under pressure. You should also be educated to degree level or have equivalent experience.
