Project Manager (Systems Implementation)

Investigo are proud to be partnering with St John’s College, who currently have an opportunity for an experienced Project Manager to join their team on a contract basis.

About the College
St John’s College is one of the larger colleges in the University of Oxford. Founded in 1555 by Sir Thomas White, the College is a long-established member of the thirty-eight colleges of Oxford University. Like all colleges, it is an independent, self-governing establishment, which functions both as an academic institution and as a social and residential centre for its members. The College has around 650 students, 100 Fellows and 200 non-academic staff.

Systems Implementation Project
As part of ongoing ICT improvements, St John’s College are about to embark on an exciting and major systems transformation project and has recently agreed to purchase “Kinetic” a new database to manage student rooms as well as handling conferences and events. The vision for the system implementation project is to provide a more efficient, accurate, robust and integrated room bookings and events system, in turn automating and enhancing the student billing experience during term time.

The role:
This role is critical to the College and under the direction of Domestic and Conference Manager the Project Manager will be responsible for leading the system integration change project and being the subject matter expert. Owning the full lifecycle of the project from designing the business and technical requirements, co-ordinating the stakeholders and project sponsors across the domestic, finance and IT departments, to planning the integration road map, system implementation, user training and successful go-live.

Responsibilities include:

  • Agree the scope of work and key deliverables with the project sponsor; draw up and maintain a project plan, detailing activities, resources, key dates and risks
  • The analysis and evaluation of current College business and domestic processes and data management and the development of coding structures to support integration into Kinetic modules.
  • Understand the Kinetic database modules and how data and processes inform the setup of modules
  • Act as main liaison between the College and the software provider
  • Provide guidance to stakeholders, coordinate and assist with the compilation of structured data and processes in support of the software implementation
  • Coach stakeholders, sponsors and users to design and deliver an effective change and communication plan inline with the training and adoption of the new system

The person
The successful candidate will be a strong leader and have proven experience in managing complex IT change projects and system integrations. Along with this, they are looking for someone who can adjust easily to change in project priorities and ambiguity. The ability to challenge the status quo when required and demonstrate independent thought, judgment and creativity is key to success in the role. Excellent communication skills and the ability to analyse and solve problems are essential. The role would suit someone seeking to apply technical and project management skills gained through working in an IT enabled change environment.

The length of the contract will be for a period of 18 – 24 months and will require the successful candidate to have started no later than the beginning of September 2017.
