Administrative Assistant

The post is designed to provide administrative support across a variety of areas. In addition to day-to-day teaching administration, the role has particular responsibility for supporting the submission, marking and return of coursework and examinations; maintaining attendance records and following up student absences, working closely with the Masters Tutor; and supporting the administration of student feedback questionnaires for Masters programmes. The post further acts as secretary to the Departmental Library Committee and is expected to forge close working relationships with colleagues in the UCL library. Finally, the post holder acts as the primary first point of contact in the Student Administration office and will provide reception cover during periods of leave and during lunch breaks, to ensure the smooth running of the Department.

The post holder will be a key member of the administrative team and will be required to establish good working relationships with Departmental academic and administrative staff with whom they will work closely. In addition to staff within the Department, the role will involve contact and communication with students and the general public, and a polite and helpful attitude is essential. The ideal candidate will have an enthusiastic and proactive approach and will be able to work independently as well as part of a team within a friendly environment.

The successful candidate must be educated to a minimum of A level standard or equivalent including GCSE English and Maths at grade C or above. A high degree of accuracy in your work and the ability to pay consistent attention to detail, an ability to organise a large volume of data with accuracy and efficiency, a proven ability to prioritise and organise a busy workload, sometimes with conflicting priorities, and to work calmly under pressure and the ability to work well as a member of a team, sometimes under pressure are all essential. Experience of student administration within a Higher Education Institution, experience of taking minutes/notes of meetings and experience of student information systems would be desirable.
