The Office of the UCL Faculty of Mathematical & Physical Science seeks a dynamic Office Manager/Executive Assistant to pro-actively manage the office’s administrative and management systems and ensure the effective functioning of the Faculty Office. In addition, the role-holder will provide dedicated executive support to the Dean of the Faculty and the Faculty Manager. This is a pivotal post within the Faculty Office team, providing an excellent opportunity for the right applicant to develop their professional services career in the higher education sector. The role requires the ability to manage a varied and demanding workload, to communicate effectively and build relationships with people at different levels within the organisation, a professional attitude, flexibility, initiative, willingness to help and a commitment to professional development.

The role-holder will assume general and specific duties to progress the operational activities of the Faculty Office, i.e. arranging meetings and committee servicing; administrative support relating to staffing and staff recruitment activities; and administering the office’s financial activities. The appointee will also manage the diaries of the Dean of Faculty and Faculty Manager, and when necessary support others in senior leadership roles within the Faculty.

The appointee will have experience of working in a senior administrative role for a large and complex division/organisation. The role-holder will be educated to degree level or have equivalent experience; able to work on their own initiative and with an appropriate measure of independence; an excellent communicator, skilled in liaison at all levels; have excellent skills in office IT systems, including email, and MS Office applications such as Excel; a high standard of literacy and the ability to draft correspondence; a flexible approach, be self-motivated and able to work under pressure.
