Reports to Head of Development and Events

Key Objectives

You will report to the Centre’s Head of Development and Events, who has overall responsibility for the Centre’s events programme. You will assist in the development and implementation of improved operational systems within the Department and the Centre as a whole. CEPR’s conferences, workshops and lunchtime meetings involve participants from widely dispersed institutions; these participants rely on the Centre’s efficient co-ordination and central administration to ensure the success of the meetings. You will at any one time have a considerable number of meetings at different stages of preparation, and will require the ability to juggle the tasks involved in managing these. 

Key Tasks  

Events Co-ordination

  • Providing administrative support for a number of specific conferences and workshops, as requested by the Head of Development and Events. This will involve liaison with academic and local organisers, preparation and circulation of invitations, programmes and papers, collecting replies, creating local information documents, database inputs, collating travel details, creating rooming lists, setting up/updating meeting websites.
  • Identifying suitable venues, accommodation and catering facilities; and negotiation of contracts with suppliers.
  • Assisting in the distribution of the internal and external calendar of Events.
  • Checking/coding Expense claim forms; dealing with/generating invoices and keeping track of standalone event budgets as well as budgets that are part of larger projects run by CEPR’s projects team.


In addition to the key tasks detailed above, the post holder will be expected to carry out ad hoc duties as specified by the Head of Development and Events, to achieve the objectives of the Events Department, and of the Centre as a whole.

Person Specification

The successful candidate will be tactful, diplomatic and possess the administrative ability to coordinate events across a wide range of programme areas and a dispersed group of researchers.

In addition, he/she will:

  • Be a University graduate, or have relevant administrative experience (including managing budgets) in, or related to events management
  • Have demonstrable organisational skills appropriate for a highly multi-tasked environment
  • Have aptitude for the coordination of activities in conjunction with geographically dispersed teams
  • Be exceptionally well organised, with proven ability to take on tasks involved in conference organisation
  • Have excellent time management skills
  • Have excellent interpersonal communication and teamwork skills
  • Be literate, meticulous and able to operate at high levels of accuracy
  • Have excellent written English skills and experience with drafting documents
  • Have a high degree of familiarity with office productivity software (Outlook, Word, Excel, Access etc.)
  • Have additional European language skills (desirable)
  • Have the right to work in the UK (essential)
