Enterprise Administrator x2 (1 Full Time Position and 1 Part Time Position)

IOE Enterprise Services is a newly formed professional service department in UCL Institute of Education (IOE). Its remit is to provide dedicated administrative support for consultancy, knowledge exchange, short courses and CPD activity undertaken by academic staff based within IOE in line with our mission in leading Education and Social Sciences. We work with a wide range of organisations covering, national and international charitable organisations, central government, local authorities, private sector commercial organisations and the European Union. This is an exciting opportunity to be part of a small and friendly team of enterprise administrators that report to the Enterprise Manager, with the main responsibility of supporting the administration of consultancy, knowledge exchange, short courses and CPD activity undertaken by IOE academic staff. Duties include: preparing costings and pricing for consultancy and knowledge exchange; supporting academic colleagues with the preparation of bids/proposals; establishing and maintaining accurate and accessible project records, budget monitoring of project finances on a regular basis and ensuring income and expenditure are correctly accounted for against budget codes as part of project tracking; taking corrective action where necessary in discussion with the lead academic and finance staff; supporting the lead academic in dealing with administration requests made by the funding organisation, including preparing progress reports and final evaluation reports and financial statements. Other duties include: processing invoices, raising purchase orders and/or recharges, journal transfers, brought-forward and closing balances and year-end accounts, as well as running transaction queries and reports as needed using the UCL finance system.

There are two posts, one full time and one part time (0.6 FTE, 21.9 hours per week). Candidates will need to state which position they are applying for.

The successful candidate will have exceptional financial administration skills, and take a highly proactive approach to providing a comprehensive administrative service. They will be highly organised and have a professional approach to work with the ability to exercise initiative and prioritise under pressure to meet multiple deadlines. Additionally they will be numerate with significant experience of financial administration, including budget set-up, monitoring and reporting, and the ability to undertake income and expenditure forecasting; experience of conducting analyses using spreadsheets and databases, interpreting data and taking appropriate action in following up outcomes. They should possess excellent record keeping skills with a high degree of accuracy and attention to detail, and have excellent communications skills in order to dealing effectively with a wide range of stakeholders including colleagues across levels of UCL and external organisations. The ideal candidate will have experience of working in higher education in a role supporting grant administration, funded projects and/or European funded projects.
