HR Administration Officer

University of Southampton - HR Operations

Location - 1 Guildhall Square, Southampton

An opportunity has arisen within Human Resources for an HR Administration Officer to work as part of the HR Services transaction team.

This is a full time position working 36 hours per week. The role is part of the wider HR Services team and provides a professional, high quality, timely, customer focused HR contractual administration and transactional service to key stakeholders and customers throughout the University community.

You will provide high quality HR administrative support across the full spectrum of HR administration, including:

  • Preparation and issue of contractual documentation
  • Variation and Extension of employment
  • Administration of fixed term contract terminations
  • Resourcelink/Payroll updates
  • Administration support providing letters for Grading of posts,
  • Probation administration
  • Maternity/Paternity administration
  • Staff achievement payments
  • Administration of performance management and improvement systems
  • Termination of employment (all categories).
  • User acceptance testing
  • Upkeep of electronically stored personal records
  • Carry out regular HR Audit checks to ensure integrity of the Data is maintained
  • General HR Administration
  • UKVI Documentation checks for Contract Extensions
  • DBS checks

Experience of using an HR/Payroll and/or online recruitment system is essential. Excellent communication and interpersonal skills are essential, as is the ability to plan workload throughout the month, to ensure payroll changes are completed in advance of the payroll deadline.
