The Post

We are now seeking an experienced and motivated Administrative Assistant to support the work of the DRNS. It is funded for three years and hosted by the Centre of Addiction Services and Research, Faculty of Social Sciences, University of Stirling. This post is a unique opportunity to support the development of a sustainable, collaborative research network in Scotland.

The post is a fixed term contract of three years initially. This may be extended depending on the success of the DRNS. The role will be based at the University of Stirling and will require occasional travel across Scotland.

The role involves wide interaction with colleagues across the Network and its respective collaborating partners to deliver the DRNS goals. The role will primarily support the national Coordinator of the DRNS and the DRNS Steering Group – in particular the Convenor and Deputy Convenor. It is expected that the administrative will be an essential part of a small team that will act as an important point of contact between the DRNS staff, researchers, the wider research environment, and statutory and third sector organisations in the addictions field.

The role will be line managed by the Research Director for the Centre for Addictions Services and Research (Deputy Convenor of the DRNS). The role will deliver day-to-day administrative support, online support and data management, and support a range of internal/external communications of the DRNS project.

Description of Duties

  • Establish the role as the primary point of contact within the DRNS for all information flow and communication needs.
  • Provide a range of face to face, telephone and online support for the DRNS Steering Group, National Coordinator, Convenor and Deputy Convenor, and any associated working groups as required.
  • Ensure that DRNS website and communication profiles are up to date on all relevant mediums.
  • Monitor and maintain appropriate records, databases, and management information for the DRNS, in line with university guidance and DRNS business plans/strategies including membership enquiries and applications.
  • Assist with regular horizon scanning for funding opportunities in the sector, nationally and internationally.
  • Support the organisation of meetings and events: inviting participants, updating web information, booking of venues and organising catering, arranging relevant materials and technological support as required in coordination with other relevant colleagues, universities/organisations and taking minutes.
  • Monitor and process budgetary information for the DRNS, in line with university regulations.
  • Administer and process travel and accommodation requirements within the DRNS, in line with the university financial regulations.
  • Be responsible for ensuring that all information and records are managed in compliance with the university, legislative and codes of practice.
  • Assist in developing knowledge exchange materials emanating from the DRNS, in collaboration with DRNS colleagues.
  • Provide general administrative duties as required depending on resources and priorities.
  • Any other relevant administrative duties commensurate with the grade.
