Admin Assistant – 0.6 FTE

We are seeking to appoint a part-time secretary (21 hours per week, Monday to Friday) to support the Head of Research Institute and to co-ordinated operations within the ISSS Research Institute within the School, and provide cover for the other Research Institutes.

An ability to initiate and complete tasks to the highest standard is essential. Good organisational, interpersonal and communication skills are also vital to this role, as are numeracy and IT (Microsoft Office) skills. This is one of 5 Research Institute secretaries within the School and reports to the Executive Assistant to the Head of School, Mrs Gwen Christie. This post will suit self-motivated individual who is able to work flexibly and willing to play a key role in shaping the operation of the Research Institutes within a challenging and changing environment.

The post holder will report to the Executive Assistant to the Head of School, who will provide a strategic and operational overview of secretarial needs within the Research Institutes and support in terms of personnel and welfare issues. The postholder will work closely with the Director of Research Institute and members of the research team.
The appointee will be required to:

Demonstrate their competence in the use of Microsoft Word, Excel, Outlook and experience of working with database systems; work accurately, methodically and independently, exercising personal initiative in the majority of the role; organise his/her own time effectively and take responsibility for planning tasks assigned to him/her; communicate effectively at all levels, display excellent interpersonal skills and be able to work effectively within a team; demonstrate appropriate professional judgement in the handling of confidential and important documents such as student records; work under pressure; work flexibly, be prepared to learn and willing to provide secretarial support in other areas of the School as required.

You will have literacy and numeracy skills equivalent to SCQF Level 5 (Standard Grade) and be competent in the use of relevant IT MS packages.

This role does not meet the minimum requirements set by UKVI to enable sponsorship of migrant workers.
