Events Coordinator

An exciting new role has opened at the Bodleian Libraries for an Events Coordinator to coordinate various events ranging from exhibition openings, award ceremonies, fundraising dinners and public engagement events, to the annual staff party and Christmas Carol concert.

You will work closely with the Events Manager on some events and more independently on others, coordinating all aspects of the event including logistics, caterers and other suppliers, event formats, running orders, guest lists. You will work with the communications team on the production of materials for events, and liaise with the Front of House Manager regarding booking staff to cover events.

Attending relevant events, you will brief the Event Supervisor, coordinate event staff, ensure the correct set-up and resolve any issues that arise. Evening and some weekend work will be required.

This role requires helping the team to move tables, chairs and other event equipment in order to set-up and dismantle events.

You will have previous experience of coordinating events where attention to detail is paramount, and will have the ability to use independent judgement to think through and resolve operational issues. You will also have exceptional interpersonal and communication skills and excellent organisational skills with the ability to multi-task and to prioritise workloads. You will be able to maintain a calm, polite and professional manner when dealing with demanding situations, and be hard working and proactive in order to get tasks completed.

This is a full time permanent position and will involve some evening and weekend working.

Due to the nature of this post, the successful candidate will be required to undertake security checks as well as a financial background check.
