EMBO’s core activities are funded by the intergovernmental European Molecular Biology Conference (EMBC), consisting of representatives of the EMBC Member States. The EMBO Council is a body of highly experienced scientists nominated and elected by the community of EMBO Members, which manages and directs EMBO’s activities.

EMBO is seeking an experienced and skilled EMBC and EMBO Council Officer. The EMBC and EMBO Council Officer is a member of the Director’s Office and is responsible for the administrative aspects of EMBO’s relations with the EMBC and the EMBO Council, including preparing and organising the meetings of these bodies, as well as coordinating the day-to-day interactions and communication with the EMBO Council and EMBC.

Specific responsibilities:
The EMBC and EMBO Council Officer works closely with the EMBO Director and management team, initiating and coordinating any activities related to the EMBC and EMBO Council, including:

  • Organising all meetings, including logistics
  • Coordinating the elaboration, preparation, proofreading and mailing of all documentation and its translations
  • Taking, writing, and proofreading minutes at EMBO Council and EMBC meetings and meetings of these bodies’ working groups
  • Correspondence with EMBC delegates, advisers and observers, as well as EMBO Council Members and observers, EMBC officers, potential new Member States and partner countries, and other relevant contacts including legal advisors
  • Keeping EMBO management abreast of all developments regarding EMBC and the EMBO Council
  • Compiling statistics
  • Maintaining and curating the EMBC, EMBO Council, and EMBO committee webpages
  • Archiving documents and maintaining a rapid document recovery system
  • Perform additional tasks as required by the EMBO Director.

This position will occasionally require duty travel and working outside of the normal working hours, in the evenings or during the weekend, in particular before and during EMBC and EMBO Council meetings.

Qualifications and Experience
The EMBO Council and EMBC Officer should ideally have at least 3 years relevant experience working in an intergovernmental environment or the administration of an organisation at the international level.

The ideal candidate has a university qualification or professional training in administration, international relations or related areas, is a structured and analytical thinker and highly self-motivated. Outstanding time management, organisational and administrative skills are essential, as is great attention to detail. Experience in planning and organising international meetings is a requirement. The candidate will have the ability to work both autonomously and as part of a team, and possess intercultural awareness and experience, both in terms of working with different nationalities and work cultures (governmental/scientific). Being able to cope with peaks of workload and keep deadlines even under stress are key qualities expected of the candidate.

Excellent written and spoken communication skills, targeted at different audiences, including government officials and academics, are essential. Excellent spoken and written command of English is essential, knowledge of German and French is an advantage. A good command of standard office software packages is required. Knowledge of databases (Filemaker Pro) and website content management systems is desirable.
