The Development Office exists to secure philanthropic support for the University’s academic priorities and helps to secure in excess of £200m a year of new gifts and pledges towards the Collegiate University’s public £3bn Oxford Thinking Campaign fundraising target. The Development Office currently consists of around 140 staff across the world, based in the United Kingdom, USA, Hong Kong and Japan; this includes fundraisers and staff providing support in terms of administration, proposal preparation, research, database and system support and maintenance.

The Gift Registry, as a team within Finance Division, works closely with the Development Office and is the central point for processing gifts to the University and for the reporting of donation income (in excess of 40,000 transactions per annum). It supports the provision of management information for the Campaign to University stakeholders including Development Office management, heads of academic divisions and departments and to donors. Donations from a wide variety of sources and routing mechanisms are all processed through the Donations and Alumni Relations System (DARS) before being distributed to the beneficiary departments, colleges or clubs and societies.

The Gift Registry team has a joint remit to record and report on philanthropic income across the University and to provide cost accounting and financial control for the Development Office. The team reports jointly to the Development Office and Finance Division.

In delivering team objectives, the Gift Registry Assistants are required to perform accurate and timely batching and data entry of donations, income receipts preparation, and the distribution of information to relevant parties on a daily basis. This involves liaison with colleagues in the Development Office fund-raising teams, Central Finance, departments, divisions, overseas offices, colleges, and occasionally donors.

We are looking for a highly motivated candidate who is comfortable administering and processing large volumes of transactions in a fast-paced and varied environment.  You will be a team player with a good eye for detail, organised and have a flexible outlook. In addition, you will need a working knowledge of MS Excel and possess good communication and interpersonal skills.
