About the team/job

Training the next generation of scientists is a core mission of the EMBL. EICAT’s Internal Scientific Training team coordinates EMBL’s Predoctoral and Postdoctoral programmes, which host around 500 fellows at any given time. Both programmes leverage EMBL’s interdisciplinary and dynamic scientific environment and, in combination with our new initiatives, the EMBL Fellows’ Career Service and the Complementary Scientific Skills programme provide world class-training and career development for our fellows.

Your role

We are looking for a motivated and efficient Administrative Assistant to join our Team. You will work closely with the Postdoc Office, the Complementary Scientific Skills programme and the Fellows’ Career Service. Your main responsibility will be the general administrative support to these programmes, including the logistical organisation of a number of training and career development events. You will also support the Head of Internal Scientific Training in administrative matters as required.

Duties include, but are not limited to the following:

  • Supporting the implementation and monitoring of postdoc career development plans and other new initiatives
  • Assisting with the organisation of training events
  • Corresponding with speakers and trainers in advance of events
  • Liaising with local administrators at EMBL Barcelona, EMBL-EBI, EMBL Grenoble, EMBL Hamburg and EMBL Rome for trainings organized at these sites
  • Arranging travel and processing travel claims
  • Maintaining the Complementary Scientific Skills programme web pages
  • Collating feedback on the events
  • General administrative support
  • Maintaining office supplies, managing schedules, coordinating meetings
  • Other administrative duties as require

You have

You have an appropriate qualification and a demonstrated track-record of effective secretarial or office management experience.

The position requires excellent administrative and organisational abilities as well as outstanding interpersonal skills. Effective multi-tasking and attention to detail are essential in this position. The ability to handle confidential matters with discretion and good judgment is also required.

Furthermore, we expect very good computer skills, including good knowledge of Microsoft Office. Qualifications should include a first-rate command of written and spoken English. 

You might also have

Relevant experience in the maintenance of databases and web pages is an advantage. A good command of German is desirable.

Please note that appointments on fixed term contracts can be renewed, depending on circumstances at the time of the review.
