Facilities and Campus Support Manager

We at the Chicago Booth EMEA campus in London are looking for a highly motivated individual to join our Operations team as we continue to build on and expand our offerings in EMEA. 

GENERAL SUMMARY:  The Facilities and Campus Support Manager will be responsible for providing service and support to all users of the EMEA Campus. The Manager oversees key operational functions including facilities services, maintenance, vendor management, IT/AV support, security and reception, as well as support to the various program and events teams. The role ensures the smooth and efficient overall running of the EMEA campus, working in close collaboration with internal colleagues and external service providers to maintain a safe, well-functioning and efficient campus environment.

Campus information: The EMEA campus is approximately 43,000 sqft (4,000 sqm) with two tiered lecture classrooms, a large multi-function space, 15 group study rooms and several conference rooms. There are approximately 20 Full time staff in London.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

Facilities Service and Vendor Management 

  • Develop and maintain positive and effective working relationships with building management, internal and external contractors and suppliers
  • Create and Administer Contracts and Service Level Agreements with all required vendors including building maintenance, external maintenance vendors, cleaning, security and reception, IT/AV (see more info below), etc.
    • Schedule required services and monitor quality of service levels
    • Log, track and follow-up all facilities-related issues and resolve or escalate as required
    • Schedule and track routine and preventative maintenance services on all building facilities and equipment
  • Assist with contracts renewals and vendor selection 

IT and AV support

  • Working closely with Chicago Booth’s central IT department in Chicago, manage local IT and AV support providers to ensure all campus technology runs properly and smoothly.
  • Ensure all equipment and procedures in London are aligned with the School’s policies and requirements.
  • Organize all on-campus and remote technical support via our AV, IT and other vendors as required.
  • Track, troubleshoot, and manage reported faults and escalate as necessary
  • Organize and track routine maintenance of all equipment, and maintain up-to-date IT/AV inventory.
  • Where required, provide first level IT (PC and MAC), AV & office equipment troubleshooting for staff, students and staff.

Program and Event Support

  • Work closely with the Executive MBA, Executive Education, Events and Conference Centre teams to ensure that the campus is set up for class sessions and events as required.
  • Respond to faculty, student and client issues as appropriate.

Health & Safety

  • Ensure compliance with workplace statutes on Health and Safety.
  • Manage training needs for Fire Marshals and First Aiders.

Supplies and Procurement

  • Coordinate purchasing of furniture, equipment and supplies for the campus.
  • Getting quotes, liaising with Procurement Office and manage purchases following University policies and procedures.
  • Overseeing office supplies inventories and replenish supplies as and when needed.

Budgeting

  • Set up budgets for Operations on campus.

General Administration

  • Telephones, reception relief duties, post, and other duties as assigned. 

REPORTING RELATIONSHIPS:

Reports to Director, Program and Operations – Europe

Direct Reports – None, but will supervise some external contractors

PERSON SPECIFICATION: 

  1. A Diploma, Degree or Training in Operations, Business, or Facilities Management is preferred.
  2. Ideally a minimum of 4-5 years of relevant experience is required; experience in the higher education, training or hospitality industries would be helpful, as would work in a multi-cultural environment.
  3. Excellent organizational skills, initiative, and attention to detail are a must.
  4. Ability to create and maintain positive working relationships is essential.
  5. Should be able to demonstrate experience in troubleshooting and problem solving.
  6. Ability to multi-task and meet deadlines.
  7. Excellent oral and written communication skills.
  8. Proficiency and experience with some business software packages such as Microsoft Office (Excel, Word, Powerpoint), cloud-based applications such as Google drive and Box, online databases, Building Management Software, etc. is needed.
  9. Must be able to work legally in the UK.
