We are looking for a professional Personal Assistant and Team administrator to provide comprehensive and proactive support to the Director, Associate Director and policy team, enabling colleagues to carry out their roles as effectively as possible. Developing and demonstrati ng an understanding of the context within which the senior management team operates to provide effective and proactive support to these colleagues.

Key responsibilities include:

  • Diary management: proactively and effectively manage complex diaries, making appropriate use of time and resources, taking advice as necessary
  • Carry out the role of ‘gatekeeper’, advising others of diary priorities and providing other information as required i.e. availability, logistics, etc
  • Planning meetings, visits and events as appropriate, ensuring all details are confirmed and correct
  • Maintain regular meetings with key internal and external stakeholders
  • Organising all travel and accommodation, making best use of colleagues’ time in line with Research England policies and procedures
  • Meeting preparation: Ensuring briefing and diary papers are obtained and presented in a timely and appropriate format to allow for reading/preparation
  • Organise diary papers and briefing notes for meetings and speaking engagements, setting up briefing sessions when required
  • Producing high-quality PowerPoint presentations from the initial draft according to the house style.

About you:

  • A proven professional PA with experience of providing high-quality support
  • The ability to work effectively with senior managers and senior stakeholders from a variety of organisations, with ability to build and maintain effective and professional relationships at all levels, remotely as well as face to face
  • Able to write clear and accurate correspondence, appropriately tailored to the audience
  • Strong organisational skills. Able to proactively manage workloads, resolve competing demands, and cope with changing priorities flexibly and proactively
  • High attention to detail and a conscientious approach t o work
  • The ability to remain calm and professional under pressure and in the face of conflicting and changing priorities to ensure that business critical tasks are delivered
  • Able to proactively listen and apply feedback regarding quality, performance, and value in continually improving business processes and operations; demonstrate an ongoing commitment to learning and development
  • A creative, flexible, and positive approach to problem-solving. Questions established ideas and generate solutions to problems.
  • High level of ICT skills and the ability to work with a variety of IT systems and applications, including MS Outlook, Word, Excel, and PowerPoint
  • Educated to at least ‘A’ level standard or equivalent
