UCL Careers is seeking to appoint an Internship and Vacancies Administrator who will provide support to the Internships and Vacancies Team, supporting our central recruitment and vacancy services. The role holder will be the first point of contact for employer enquiries about advertising jobs and internships and will inform them as to which of our services would be most appropriate for their needs. They will regularly approve vacancies and employers on our careers management system, in line with our checking procedures.
They will be responsible for keeping accurate details of employer contacts and opportunities on the system, and they will liaise with employers to ensure that opportunities meet standard criteria. They will actively source, facilitate and promote opportunities, particularly internships, and will keep abreast of system improvements and advertising policies. The role holder will work with under the guidance of the Internship Programmes Manager and Internships and Vacancies Officer, and alongside other members of the Internships and Vacancies Team and wider Employer Engagement team. At times they will be asked to help in facilitating our shortlisting services and, in line with all UCL Careers staff, they will be expected to support other UCL Careers activities, such as themed weeks event programmes, on a limited basis.
The position is (0.6 FTE), 21.9 hours per week, and is advertised for a 12 month contract in the first instance, with the possibility of extension.
The ideal candidate will have experience of customer service, preferably in a Higher Education or commercial context, excellent communication skills, and strong attention to detail and high standards of accuracy. In addition, they will have good knowledge of IT including Microsoft Office, and experience of using spreadsheets and databases to manage contacts and/or recruitment software or careers management systems. Previous experience in a Careers services university environment is highly desirable but not essential.
