The role

The successful applicant will provide administration support for the Heilbronn Institute; including executive support for senior academic and/or professional services staff, undertake budget monitoring, organise and support a range of internal and external events, design and prepare a range of documents and publicity material, as well as other tasks required in the provision of a professional support service.

What will you be doing?

Manage and deliver an excellent administrative service for the Heilbronn Institute:

  • Research and executive support: organising and preparing reports and internal and external communications, design and implement administrative procedures, create and maintain relevant spreadsheets, databases, financial records and audit trails, maintain familiarity with research aims, provide executive support to relevant senior staff, work independently and use initiative, judgment and in-depth knowledge to deal with daily unforeseen problems and enquiries.
  • Planning and Organsing: prioritise own work considering other possible competing deadlines and assist others to do so where necessary, organise high-profile events and workshops, effective management and allocation of relevant resources.
  • People and Relationship Management: be first point of contact for partners and/or funders and assist the Institute manager(s), develop a network of contacts across the University to support their work activities, assist where required with the arrangements for any staff recruitment process, and directly line manage and/or allocate tasks when appropriate.

You should apply if you are able to demonstrate the following essential criteria, and it would be advantageous if you can also demonstrate the desirable experience to be successful in this role as well:

Essential

  • Proven administrative experience working in busy and demanding environments.
  • Excellent IT Skills, to include web content management systems and general office systems. Able to manage information electronically through databases and Excel, such as budgets.
  • Able to work under pressure; to produce accurate work to deadlines, with excellent attention to detail.
  • Excellent organisational skills along with flexibility and initiative, able to prioritise own work and manage changing priorities as part of a diverse, busy workload.
  • Event management experience, including taking sole responsibility for large events and managing budgets.
  • Experience of working autonomously with little supervision, responding independently, and dealing with unforeseen problems and circumstances.

Desirable

  • Experience of dealing with contracts; employment contacts, PhD studentship contracts, collaboration agreements.
  • Experience working with Research Council funding awards, ideally post award.
  • Experience of using an Event management programme, preferably CVENT or similar.
  • Proficient in using Adobe Creative Cloud, specifically Adobe Premier Pro and Photoshop.
