The Post

The post of The Timetabling, Exams and Graduation Assistant is part of Academic Registry and sits within the Timetabling, Exams and Graduation area of the team. The team is responsible for a number of key areas of operation: teaching timetabling, examination scheduling, examination operation, graduation operation, academic misconduct administration. The team reports directly to the Academic Registrar and supports the Academic Registrar as required in order to support the successful achievement of Academic Registry objectives. The team also works collaboratively with the University’s Faculties, Divisions, and Professional Services Units to achieve institutional objectives.

The key purpose of the Timetabling, Exams and Graduation Assistant role is to support the Academic Registry aspects of operation in respect of the University’s graduation arrangements and ceremonies, examinations and timetabling, and to support the Timetabling, Exams and Graduation areas’ wider responsibilities and objectives.

Working Pattern

It is a requirement of this role that the post holder working hours are flexible to meet the demands of the business and to support key University events.  In particular, this is likely to require the post holder to work out with “normal working hours” during the exam diet where exams papers can be collected from 8:00am. Additionally staff are required to occasionally work at the weekend for example during the exam diet and when assisting at an enrolment/ID event for students. Annual leave may be restricted during peak workload periods. Examples include graduation ceremony weeks and formal examination periods.

Description of Duties

  • To respond professionally to graduation and certification queries raised by students and staff via the University enquiry management system, email, phone, Microsoft Teams and face to face within service level agreed timescales
  • Production of duplicate degree certificates from the University’s student record system
  • Proof checking degree certificates to ensure that quality is maintained
  • Interact with the University’s student record system, undertaking a range of processes and updating graduation data with a consistently high degree of accuracy. 

Essential Criteria

  • A qualification at HNC/HND level or equivalent in an administration related subject, or a minimum of one years’ experience working in an administrative role
  • Good communication and inter-personal skills that facilitate the provision of appropriate service delivery in information, advice and guidance
  • A strong commitment to operational excellence, customer care and the student experience
  • Excellent administrative skills with the ability to coordinate data, information provision, and events, as well as the successful completion of broader, essential administration
