Main purpose of the job:

As part of the Academic Services team, the Programme Administrator’s primary function is to undertake the administration of all aspects supporting student-related academic cycle including induction, enrolment, attendance, assessment and retention activities. This role provides high level customer service to students and staff, ensures academic programmes are administered in line with the Academic Regulations and that all relevant activities are completed in line with University processes and within institutional deadlines. Programme Administrators work as a professional team, liaising closely with academic and administrative contacts across the University to provide a consistent and responsive customer service to students, academic staff and external partners (including collaborative provision). Excellent liaison and organisational skills are a priority in order to co-ordinate processes across central departments such as Registry, Admissions and the Academic Office and provide excellent service delivery to the all of the University’s students.

Main duties and responsibilities: 

1. To administer academic programmes (including those associated with collaborative partner delivery) with a consistent and robust approach whilst adhering to University Academic Regulations and processes. 

2. To provide excellent customer service, handling enquiries relating to academic programmes, maintaining in depth knowledge of the Academic Regulations and offering advice and guidance to staff and students. 

3. To assist in maintaining and archiving paper and electronic records as required, programme information, records of student assessment processes and records of Departmental meetings. 

4. To support validation processes for new or existing programmes and ongoing robust management of programmes by working closely with University central teams such as Registry, Allocator/ Timetabling and the Academic office. 

5. Develop an in depth knowledge of the academic regulations and to follow University policies and procedures within the Department and to provide pro-active management of academic programme processes. 

6. To take an active role in all aspects of the student cycle including pre-registration, enrolment and induction activities, attendance monitoring, assessment and retention activities.  

7. To co-ordinate programme assessment including producing the assessment calendar, submissions, production of gradesheets and servicing assessment Boards. Liaison with academics and key stakeholders ie. external examiners and collaborative partners if applicable. 

8. To organise and service assessment Boards and Department meetings as required, including but not limited to, booking rooms, arranging catering, compiling agendas, generating and circulating papers, taking minutes, overseeing follow-up actions, and liaising with a range of staff across the University and externally as appropriate.

9. To gather and disseminate information on request from the Academic Services Manager, Head of Academic Services, Academic Registrar, Head of Department and Programme Convenors.

10. To process day-to-day financial requests including procurement of consumables, raising purchase orders, maintaining stock levels, arranging travel, processing staff travel claims and arranging internal payments to Departments. 

11. To be an active citizen within the University willing to undertake and assist in University wide events such as Open Days and Graduation Ceremonies. 

12. To undertake any other requirements commensurate with the seniority of the post. 

The annual leave entitlement is 25 days p.a., additionally there are 3 – 4 days when the university closes for Christmas. This is pro-rata’d for part time staff

Your normal hours of work will be 35 hours per week, plus a lunch break of one hour each day
