Person specification

We are seeking to appoint a highly motivated individual with a strong interest in Facilities Management who will have the knowledge and expertise to support Estates and Facilities team in ensuring that the buildings and facilities that make up the BIMM Institute Bristol estate are fully functioning and fit for purpose. The successful candidates will be involved with the day-to-day running of one of the Institute’s two campuses at 25 King Square or 1 Passage Street as well as at external venues around Bristol, working closely with the Estates and Facilities management team to ensure the appropriateness, quality and safety of the college environment.

The successful candidates will be a team player who is used to working to tight deadlines and dedicated to maintaining an environment where staff and students alike are able to meet exacting standards of educational excellence.

Good communication, planning, organisational and time management abilities are essential as you will be required to carry out instructions to specific deadlines.

Facilities Assistants should always be willing to share their knowledge and assist tutors in delivering lectures using the latest musical equipment and technology.

Please note: These are 0 hours roles without a regular shift pattern to support the existing primary team of Facilities Assistants. This would be ideal for candidates looking for flexible work, particularly during evenings and weekends, although the occasional daytime shift may be available.

Essential criteria for Applicant

• Excellent timekeeping
• Good time management and prioritising skills
• Ability to work unsupervised and under own initiative
• Knowledge of musical equipment and music production hardware and software
• Computer literate
• Health and Safety awareness
• Understanding of IT (PC & Apple)
• Reliable and adaptable

Desirable criteria for Applicant

• Knowledge of music / music industry
• Ideally a full clean driving licence (or willingness to gain one)
• First aid at work qualification (or willingness to gain one)
• Fire Marshall training (or willingness to undertake)

Key accountabilities

The post holder will be required to meet the listed accountabilities. These are indicative of the roles and responsibilities you will have; however, these may change in line with the needs of BIMM.

1. General
a) Assisting the Head of Estates and Facilities as required
b) Working with the Estates and Facilities management team and other BIMM departments to ensure the best allocation of studio and classroom resources
c) Planning and facilitating internal and external events
d) Day to day running of the building and facilities, ensuring smooth crossover of shifts from the rota-ed facilities assistants
e) Working in conjunction with other staff to act as first response to student and staff requests, providing a high level of service in accordance with agreed procedures
f) Regular monitoring of communication and task management channels (email, phone, Slack, Trello, Siso)
g) Opening and closing the building as required
h) Communicating quickly and efficiently with the Estates and Facilities team, providing as much notice as possible regarding shift availability

2. Equipment
a) Ensuring that all teaching rooms are laid out correctly and have the requested/necessary equipment for the smooth running of the day’s lessons
b) Responding to lecturer’s equipment requirements to help ensure excellence of teaching delivery
c) Checking equipment regularly to ensure good working order
d) Maintaining the equipment asset list for the building and any external venues
e) Backline and reporting equipment faults to the Estates and Facilities management team
f) Arranging for the servicing and repairing of equipment with the approval of Estates and Facilities management team
g) Continuation of the booking system roll-out across BIMM Bristol, adding assets to enable tracking

3. Cleaning
a) Checking that the building is clean and tidy before the arrival of staff and students and monitoring the environment throughout the day
b) Checking that the contract cleaners’ work is up to an acceptable standard and reporting any issues to the Estates and Facilities management team
c) Monitoring the cleanliness of the toilets, reporting any plumbing or sanitation problems to the Estates and Facilities management team
d) Emptying the bins and vacuuming the reception, if necessary, if required
e) Ensuring that the area directly outside of the entrance to the BIMM Bristol building is generally clean and litter free

4. Health and Safety & Security
a) Being fully aware of all BIMM Group Health and Safety regulations and maintaining constant vigilance that these are adhered to by staff and students
b) Working with the Estates and Facilities management team to draft risk assessments and keep the H&S testing program (fire alarm, fire extinguishers, fire evacuation etc) up to date
c) Assisting the Estates and Facilities management team in the training of tutors with regard to BIMM Bristol policy and reporting non-compliance to the Estates and Facilities management team
d) Enforcing BIMM’s security protocol and ensuring good practice is carried out by all of the Estates team and other keyholders

NB: This is not a complete statement of all duties and responsibilities of this post. The post holder may be required to carry out other duties in keeping with the nature of the post as directed by, and agreed with their Line Manager.
