EMBO stands for excellence in the life sciences. We support talented researchers at all stages of their careers in Europe and beyond, stimulate the exchange of scientific information, and help build a research environment where scientists can achieve their best work.

The Membership Office coordinates all affairs regarding the over 1,900 EMBO Members and Associate Members, eminent scientists from Europe and beyond who are selected in an annual nomination and ballot process.

The Courses & Workshops Programme funds over 90 courses and workshops attracting more than 11,000 participants every year, making it the largest funder of life science meetings in Europe. In addition to providing financial support, EMBO assists organizers with the promotion of the meeting, as well as with the creation of a website with registration system, abstract submission facilities and the design of a poster. 

Your role

The Programme Officer, Membership / Courses & Workshops works for the Membership and Courses & Workshop Offices and assists other EMBO activities as required.

Specific responsibilities:

Membership

  • General correspondence and filing
  • Organize and prepare documents for the Membership Committee Meeting
  • Organize the EMBO Members Meeting, and other meetings as required
  • Periodically review documentation and guidelines
  • Collate statistical, questionnaire and financial information and create reports as required
  • Help in the organization of internal meetings, including preparation of documentation, event logistics, and minute taking
  • Update database records
  • Provide general administrative assistance to the Membership Office

Courses & Workshops

  • Provide support services to Courses & Workshop organizers, including: setting up websites, online registration systems, designing posters and abstract book cover, etc.
  • Correspond with organizers and the technical suppliers of EMBO when necessary

For both offices

  • Work closely with colleagues in the Communications department
  • Maintain a paper and electronic archive of relevant documentation
  • Assist the respective Programme Heads with related duties
  • Perform additional tasks as required by the EMBO Director

This position will occasionally require duty travel and working outside of the normal working hours, in the evenings or during the weekend. 

You have

  • Ideally, at least 3 years’ administrative experience, ideally in research administration
  • Attention to quality and detail
  • The ability to communicate precisely and politely in English, especially in writing
  • Strong interpersonal skills, a positive attitude and service orientation
  • A high level of organisation and the ability to prioritise and multi-task effectively
  • The ability to work both independently and as part of a team
  • A sound knowledge of current office software 

You might also have

  • Experience with event organization
  • A working knowledge of German for communication with local suppliers

What else you need to know

The Programme Officer reports jointly to the Head of Membership and the Head of Courses & Workshops.
