The role

The Academic Registrar and Administrator is a key member of staff in the efficient functioning of the academic mission of Blackfriars Hall, a Permanent Private Hall of the University of Oxford, and Blackfriars Studium, the Dominican House of Studies where students study towards ordination in the Roman Catholic Church.  The postholder must be comfortable working with students and staff from a variety of religious backgrounds or of none.

The key responsibilities of the post include

  • administration for students of Blackfriars Hall, from admissions to graduation;
  • administration for students of Blackfriars Studium, from admissions to course completion;
  • attending weekly meetings of the Executive Board and preparing the agenda, minutes and supporting documents;
  • planning and managing Induction Week for new students;
  • issuing formal invitations to Fellows and academic visitors;
  • record-keeping;
  • general administrative duties and support to the Regent (Head of House) as required.

The role is full-time during Oxford University weeks 0-10, and has reduced hours by arrangement during vacations.  Occasional attendance at events outside normal working hours is desirable.

Selection criteria

Essential 

  • Education to degree level
  • Experience of administration
  • Excellent interpersonal skills and discretion
  • A good command of English, both written and oral
  • Good IT skills, especially Microsoft Office and the willingness to learn new applications as required
  • A flexible attitude towards duties and a willingness to work flexibly to meet the changing demands of University and Studium calendars

Desirable

  • Experience of working in administration in student services and higher education
  • Experience of student admission
