An exciting opportunity has arisen to join the University of Plymouth Faculty of Health as Assistant Administrator.

The Faculty of Health Assessments Team are dynamic, fast paced, and energetic. Combining events planning with data analysis, the team organise and support the delivery of a range of assessments for the medical and dental schools. Assessments range in size from 30-40 students to around 900, and are delivered in a variety of ways, from online invigilated examinations, to ISCE and OSCE assessments, which require students to demonstrate clinical competencies in a simulated environment. Flexibility and adaptability are important to assist with exam delivery, which can occasionally fall outside of typical working hours.

The medical and dental schools offer a supportive and collaborative workplace, where innovative ideas are encouraged and opinions of all are respected and listened to.  You will work with academic and professional services team members across and externally to the university, attending various meetings to write minutes and preparing paperwork in advance of meetings.

Providing support during exams is key and requires an individual who can communicate clearly and follow the direction of more senior team members.

You will be a valued member of an established team of five, working under the guidance of an Assessment Administrator and alongside another Assistance Administrator.

Day to day tasks include:

  • Liaising with academic staff to update assessment forms on the relevant system.
  • Creating data files to upload to digital forms for upcoming student assessments.
  • Proofreading written exam instructions to share with students and double-checking exam arrangements before students are informed.
  • Updating Excel based trackers to indicate progress of assessment forms for ongoing student assessments.
  • Exam preparation, such as preparing allocation of students to rooms and venues for upcoming exam dates and creating invigilator room packs for exams.
  • Servicing and attending a variety of meetings, including post-test meetings, working groups and team meetings, and typing up minutes using existing templates.
  • Keeping open communication with the team, asking for support, and checking each other’s work, plus motivating each other is key to the team’s success.

This position will mainly be based between the John Bull building in Plymouth, however, during assessments you may be required to be present at various locations across Plymouth. Occasional travel to our Torbay, Truro and Taunton sites may be required to support the activities of the team.

Hybrid working is available at the line managers discretion.

There is an essential requirement within this role that you will be required to travel to and work at different University sites and/or other business locations that may not be easily accessible by public transport. Please refer to the job description for further information.

This is a part-time position working 18.5 hours per week on a fixed-term basis which is due to end Saturday 31 May 2025 due to Maternity/adoption cover.
