Our busy and growing Campus Services Marketing team is looking for an organised and bright person to provide proactive administrative support. You’ll be a good multi-tasker and communicator who is also able to work independently. 

Main Duties

  1. Scheduling and coordinating meetings including room bookings and minute-taking.
  2. Participating in meetings and documenting action items and queries for clients.
  3. Receiving and archiving project briefs, raising requisitions and orders on behalf of the rest of the team.
  4. Maintain working relationship with key stakeholders, fielding queries, receiving, and dealing with complaints and resolving promptly.
  5. Collaborating with clients on project briefs, offering guidance on delivery timelines, seeking clarification, sending proofs for review, and documenting amendments for communication to the team.
  6. Updating the project management tool with actions and deadlines, assigning tasks to team members, and ensuring the system is updated.
  7. Following up with the internal team and clients to ensure tasks are completed on time and within budget.
  8. Serving as the primary contact between the internal team and the print house, handling the ordering and monitoring of all print jobs to guarantee accurate delivery. Keeping track of historical print jobs and ordering reprints.
  9. Process data, monitoring accuracy, chasing missing information, and escalating any issues as appropriate.
  10. Assisting at photography shoots. Coordinating the logistics with Campus Services staff and external photographers, booking rooms and helping deliver props.
  11. Monitoring budgets including processing payments, authorising expenditure, raising concerns where finances are not in line with the budget.
  12. Provide a secretarial service to relevant meetings.
  13. Supports equality and values diversity, moderating own behaviour to avoid unfair discriminatory impact or bias on others.

Required Knowledge, Skills, Qualifications, Experience

  • Evidence of the skills and ability to undertake the role. Qualifications in administration would be advantageous.
  • GCSEs to a minimum of grade C/4 in English and Mathematics grade C minimum (or equivalent level 2 qualification).
  • Good IT skills with working knowledge of standard Microsoft Office software.
  • Ability to take responsibility for specific tasks, carrying out duties without needing to refer to others.
  • Ability to work on your own initiative.
  • Ability to proactively contribute to improving processes and for proposing new ways of working.
  • Excellent communication skills, with the ability to communicate clearly and effectively with others.
  • Well organised with the ability to prioritise work proactively, independently and as part of a team.
  • A good understanding of how to deliver excellent customer service.
  • Experience of using and maintaining work systems, and an aptitude for learning new IT packages and systems.
  • The ability to cope with change in a fast-moving, dynamic environment
  • An understanding of the importance of equality and diversity in the workplace.
  • The ability to identify and respond to equality and diversity issues in line with relevant policies.
