This is a fixed term contract for 1 year in the first instance on Crick terms and conditions of employment.
The Governance Team is the central point of contact for all matters relating to research involving human materials or data. It leads on our compliance and governance obligations, including the ethical use of human samples and data, and provides support to researchers to navigate the necessary requirements. The team can help source samples by building a network of resources and external collaborators and relationships. In addition, it advises researchers on compliance, governance and ethical requirements of conduct when using human material. The Governance Team also encompasses the Sample Management Team whose remit is to ensure the steady, compliant and safe flow of samples into the Crick.
This is an excellent opportunity for someone with strong organisation and administrative skills to help in the initial set-up of our new facility, with the opportunity to work in a leading research environment. This post is initially offered on a fixed-term contract.
The aims of this role will include, but not be limited to:
General Administration:
- Provide administrative support for Human Biology Facility
- Organisation of room bookings, departmental orders
- Support director in financial planning for STP
- Creating and managing itineraries for external speakers.
- Booking travel, accommodation, and hospitality for external guests. Processing expenses related to their visit in a timely manner.
- Maintain a secure filing system and retrieve information as required adhering to GDPR regulations.
Committee Servicing
- Support in secretariat duties for a number of committees, including scheduling meetings, booking rooms, note taking and writing of accurate minutes.
- Taking minutes/notes in meetings, supporting Institute-wide requirements.
Research Administration
- Facilitate the operation of an ethics review system, including administrative support to the ethics committee, and maintenance of records and databases.
- Help develop and maintain resources and guidance, including intranet pages, monitoring their effectiveness and ensuring they are kept up-to-date with key regulatory and policy requirements.
- Preparing documents, reports or communications from an outline brief, or check and re-format documents which have been prepared by others.
- Stay informed on project management and/or customer services principles and processes that might be beneficial for the functioning of the Facility
- Taking ownership of scheduling speakers for seminars and talks, organising resources and rooms, advertising HBF seminars on the intranet.
- Development of databases and training colleagues on maintaining these.

- The successful applicant will have excellent interpersonal and written communication skills, be practical, methodical and organised
- Proven experience of providing high-level administrative support in a fast-paced environment, managing a workload involving multiple customer groups.
- Excellent IT skills, experience with Microsoft Office and demonstrable aptitude for learning new systems and software.
- Excellent interpersonal skills with the ability to build rapport, communicate and influence stakeholders from operational teams to Scientist.
- Ability to deal with sensitive information in a confidential manner
- Highly organised, with the ability to manage substantial workloads, and prioritise and deliver to deadlines.
