The role

We are looking for an enthusiastic and motivated person to join the team as a Senior Administrative Assistant.

The post is offered on a 0.4 FTE basis, as a fixed-term contract (1 August 2024 till 31 March 2025-provisional based on the pending outcome of the ALSPAC funding application, at Grade E. The post holder will work on a job share basis with another person undertaking a 0.6 FTE Senior Administrative Assistant role.

They will work for a large research study, the Avon Longitudinal Study of Parents and Children (ALSPAC), also known as Children of the 90s. ALSPAC is a world-leading birth cohort study, following the lives of around 10,000 families. It is one of the most detailed studies of its kind in the world and is collecting new data and samples on around 10,000 families who originally signed up to the study. We provide the international research community with a rich resource of data and samples for the study of the environmental and genetic factors that affect a person’s health and development.

The post holder will provide general administrative support for activities in ALSPAC, including managing post both incoming and outgoing, dealing with routine queries either via email, in-person or over the phone, arranging meetings and organising catering and travel.

From August 2024 we will move to new premises at the Learning and Research Building at Southmead Hospital. This post is offered as a blended working opportunity, with an expectation that the postholder will spend at least 1 day per week in the office.

What will you be doing?

You will work as part of the administration team who provide support for all study activities, including remote and in person data collection. With your job share partner you will be responsible for managing study post, welcoming and directing visitors and dealing with routine office enquiries in person, on-line or on the telephone. You will organise meetings, process data, make payments and place orders for teams across the study, arrange travel for ALSPAC staff, collate and distribute papers where appropriate and take notes/informal minutes as required.

You should apply if

  • You have excellent administrative skills within a busy environment
  • You have a customer care mindset and an open and responsive communication style
  • You have good organisational skills and can work to time
  • You are IT literate with a knowledge of Microsoft Office 365
  • You are able to prioritise tasks and ensure a high quality of work whilst working independently.
