Job Summary

The Programme Administrator will be responsible for the ensuring the smooth running of everyday operations and providing an efficient administrative service for the flagship course, the MA in Filmmaking. Duties include supporting the Course Leader and Deputy Course Leader, liaising with Academic Programme Manager and Coordinator, Visiting Lecturers, industry guests, Short Courses Manager, Marketing, Admissions and Registry; providing administrative support for student enquiries, invoicing, and where appropriate liaising with team members on the other courses in the school

Main Responsibilities

Programme Administration and Support:

  • To act as the first point of contact for Student enquiries and provide guidance and advice on MA Filmmaking, including information on course structure and content, group/unit allocations, assignment and assessment deadlines and answering general queries.Be one of the main points of contact for Visiting Lecturers and Industry Guests, including being responsible for the following:
  • notifying VL’s/Industry Guests of any scheduling changes
  • confirming fees for sessions and providing information on the process for invoicing and payment
  • liaising with HR to ensure all VL contracts are issued and completed before commencement of lectures
  • receipt and logging of invoices, plus coding
  • raising of POs where appropriate
  • To provide support to the Course Leader with the completion of attendance registers and monitoring, ensuring that records are kept up to date via the Celcat system and Visiting Lectures are informed of the process/given log-in and training for completing registers and chasing any outstanding registers
  • To maintain and update Programme VLE content, ensuring information is correct and up to date for the start of each term.
  • To assist with updating and editing academic programme documents in collaboration with colleagues and ensuring teaching resources and materials are up to date and accessible.
  • To oversee the process for raising Purchase Orders and invoice approval and payment in accordance with the financial policy at LFS, including coding invoices, dealing with invoice queries or error and maintaining an invoice tracker.
  • To maintain Programme Team Drives and oversee the process for the storage of documents.
  • To act as secretary for Programme Committees, including Programme Course Boards and Course Management meetings and circulate agendas and papers.
  • To assist in the Course Leaders diary management to include as required travel and hotel arrangements, booking of conference and events places.
  • To take responsibility for circulating regular communications to students when required.
  • To support the Course Leader to setup collaboration between MA students across different programmes.
  • Setting up meeting spaces for in-person sessions
  • To assist with the coordination of field trips and accreditation for film festivals and attend if required.
  • To support the Course Leader and Deputy Course Leader in organising and hosting industry networking events.
  • To assist with the organization of induction for new students in consultation with the Course Leader, Registry and other key stakeholders.
  • To provide information on the course to prospective students and support recruitment.

Examinations and Assessment Administration:

  • To support programme assessment processes, including tracking formative and summative student submissions, organising internal moderation, coordinating and maintaining assessment records and the release of indicative grade and feedback.
  • To liaise with Course Leader and tutors on assessment and feedback deadlines, moderation and end of Term Assessment meetings.
  • To assist with the submission of assessment records and other relevant documents to the Registry Team for Examination Boards.

Other:

To undertake any other duties consistent with the role, which may reasonably be required by the London Film School.
