The Staff Compliance team sit within the People Team, and is responsible for providing advice and guidance on all staff immigration and compliance related matters, applying and developing robust HR and compliance related procedures, guidance and processes to ensure legal and regulatory compliance and mitigate risks, and effectively communicating key legislation and procedures.
At a time of substantial change in the UK’s immigration landscape, this role represents an exciting opportunity to play a key part in enabling the ongoing international working and collaboration of Imperial staff.
What you would be doing
As International Mobility Coordinator, you will primarily be responsible for supporting the International Mobility Manager and Team (IMT), providing effective administrative support, advice, and coordination of international mobility, compliance processes, and project work – including
- Coordinate compliance project caseload for international mobility, collaborate with relevant departmental staff and vendors to ensure necessary compliance actions are undertaken
- Review overseas working requests, ensure provision of all required supporting information e.g., completed overseas working request form, right to work/visa for overseas location, any supplementary documentation, coordinate priority cases for team review
- Provide standard international mobility advice and guidance on College procedures, key mobility legislation, relevant updates and changes, to prospective and current staff, HR teams and departments
- Provide College-wide project support, collaborating with the Staff Compliance Team, HR Staff Hub, Recruitment Hub and Departmental Administrators / Managers and vendors to deliver communications, reports, presentations and training materials to ensure compliance on College processes.
- To develop effective internal working relationships across the College, including cross-team working with other academic or support departments, and act as an advocate of good HR practice
- Provide cover in the absence of the International Mobility Manager or Advisor, and assist with other duties within the wider Staff Compliance Team as necessary
What we are looking for
- Excellent administrative skills gained in an International Mobility Coordinator, HR Administrator, Project Co-ordinator role (or similar) within a busy Higher Education or comparable large matrix environment
- Knowledge of current employment legislation relating to mobility and/or best practice approach to HR processes
- Strong planning and organisational skills, with the ability to plan, prioritise and manage own workload
- Proven ability to pay close attention to detail and accuracy
- Ability to make judgement when escalation to senior colleagues is required and appropriate
- Excellent communication skills with the ability to explain complicated information in writing, over the phone and in person
- Proven competency of providing a high quality, responsive, customer-focused service
- Proven competency in using Microsoft Office applications and information systems to input, view and retrieve information
