We are seeking a highly organised and proactive Personal Assistant to support the Head of the Department of Paediatrics. This role is central to ensuring the smooth and efficient management of their time and work, enabling them to focus on their academic and leadership responsibilities.
The post holder will provide comprehensive administrative and PA support, including complex diary management, handling daily communications, making detailed travel arrangements, managing expenses claims, and organising meetings. This will involve booking venues, arranging catering, preparing agendas and papers, taking accurate minutes, and following up on agreed action points.
You will be responsible for opening, reading, and prioritising incoming communications, drafting responses, and preparing papers for signature. The role requires sound judgement to highlight matters requiring urgent attention and to liaise with colleagues to ensure timely action, particularly during periods of absence. Maintaining well-organised and confidential filing systems, committee papers, and records is an essential part of this position.
Acting as a key point of contact within the Department and the wider University community, you will manage information flow and maintain effective relationships with a wide range of stakeholders. The role also includes maintaining the Department's webpages, supporting departmental activities, and assisting with the production of communications and publicity materials.
