Trinity College, founded in 1546 by Henry VIII, is one of the largest Colleges in the University of Cambridge, with some 720 undergraduates, 350 graduate students, 190 Fellows and around 350 non-academic staff. The beauty and size of Trinity’s courts attract visitors from all over the world, but the College is also a thriving, modern community, which exists to give its members a rewarding, richly resourced, and intellectually inspiring place in which to pursue their education and research.
We are seeking to appoint a highly motivated Administrator to join our Tutorial Department. Working as part of the Tutorial team – which encompasses postgraduate admissions, postgraduate studentships, and undergraduate and postgraduate student support – this is a key role which would suit candidates who would welcome the opportunity to develop processes and collaborate with key colleagues to support students throughout their time at Cambridge.
Our Tutorial Administrators (this post is one of four) manage day to day communications with students, providing advice and administrative services, and acting as the first point of contact for students on health, welfare, finance and other College University matters. They work closely with the Tutors, drafting letters, managing appointments and ensuring the Tutors are properly briefed on more complex cases. The Tutorial Administrators are each assigned a number of “Sides” and will support the same group of students from admission through to graduation.
This role will also have overall responsibility for the arrangements for Degree ceremonies, providing administrative support to the Praelector of the College and ensuring that students are registered to attend the ceremony, that all arrangements for in College events are booked with the relevant Departments and for the larger ceremonies, helping co-ordinate students and guests on the day.
Candidates will have experience of working in a customer facing or customer focused role, preferably in a higher education environment. The role requires a strong ability to prioritise and organise a variety of tasks. Applicants must be good team players and have the ability to communicate effectively and appropriately with students, Fellows, Staff, and visitors to the College. They should be able to distil large and complex amounts of information into succinct and clear guidance for tutors and students and be able to handle confidential information with sensitivity and in accordance with data protection legislation. Experience of working with Microsoft Office, in particular a high level of knowledge of Excel, is essential together with experience of handling databases, and maintaining and manipulating data.
The Tutorial Department is headed by the Senior Tutor and Deputy Senior Tutor; the latter is responsible for student welfare in particular and works closely with the team of ten Tutors, the Head of Tutorial Services and the four Tutorial Administrators to ensure that students have the best possible experience during their time in College.
This is a full-time post with an expectation of 36.25 hours per week; during the examination window in Easter Term, additional hours may be required and time off in lieu will be agreed. There is also occasional weekend and bank holiday work required, depending on the scheduling of examinations and degree ceremonies; such work is agreed in advance and shared amongst the team.
