Reports to: Quality and Course Manager
Working Pattern: Full-Time, Permanent
Hours: 40 hours per week (8:00am – 4:00pm, Monday to Friday, on-site)
Summary of the Role
The Course Officer plays a key role in supporting Higher Education students at ArtsEd by acting as a first point of contact for queries, offering guidance and pastoral care, and ensuring a high-quality student experience. Working closely with the Quality and Course Manager, this role supports both the School of Acting and School of Musical Theatre, delivering day-to-day course administration and ensuring that students receive timely and accurate information.
In addition to front-line student support, the Course Officer helps to maintain and enhance quality assurance processes, ensuring all procedures align with institutional and regulatory standards. The role involves working closely with academic staff and across departments to manage schedules, assessments, and student communications.

Key Responsibilities
Course Administration and Student Support
- Serve as the dedicated point of contact for students, providing accurate, timely course information.
- Manage and respond to student enquiries through Registry channels with professionalism and care.
- Oversee scheduling, timetabling, and room bookings to ensure clarity for both students and staff.
- Maintain systems to monitor student attendance and engagement in line with institutional policy.
- Coordinate student feedback, representation, and engagement initiatives to support ongoing improvement.
- Ensure accuracy and consistency in course documentation, including Student Handbooks.
- Act as the key administrative contact for Trinity College London, supporting Performing Arts Diplomas.
- Support the Quality and Course Manager in managing student complaints, appeals, and disciplinary cases.
- Assist in the organisation of auditions and applicant days, ensuring a positive applicant experience.
Quality Assurance and Assessment
- Ensure all assessment processes adhere to institutional and partner standards.
- Administer assessment marks, feedback, and records while maintaining strict confidentiality.
- Prepare and service Assessment Boards and ensure accurate communication of outcomes.
- Produce academic records including transcripts, certificates, and Diplomas in line with GDPR.
- Contribute to reviewing and refining academic policies and procedures.
- Coordinate student and course data collection for internal and external reporting (e.g. OfS, DfE).
Committee Servicing
- Provide administrative support for academic meetings, including agenda preparation, minute-taking, and action tracking.
- Represent the Registry at weekly executive meetings for the School of Acting and School of Musical Theatre.
- Act as Secretary to the Boards of Studies, supporting robust academic governance.
Other Duties
- Support key institutional events such as Welcome Week and graduation.
- Undertake other duties as required to support the effective running of the Registry.
Person Specification
Qualifications & Knowledge
- Educated to degree level or equivalent.
- Knowledge of Higher Education, including quality assurance frameworks and regulatory requirements.
- Commitment to delivering an excellent student experience.
Experience
- Previous experience in a similar administrative role, ideally within Higher Education.
- Experience in providing student support and high levels of customer service.
Skills
- Proficiency in Microsoft Office and capacity to learn new systems.
- Strong organisational skills, attention to detail, and ability to manage competing deadlines.
- Eligibility to work in the UK.
