Position

We're looking for Timetabling Officers to Work under the direction of Head of Academic Resourcing. To provide an effective timetabling and room bookings service in an efficient and professional manner to allocated schools, their staff, and students. You will also support broader university-wide timetabling and room booking issues as required.

The Timetabling officer plays a pivotal role in delivering a high-quality academic timetable at LCCA. This position serves as the key liaison between academic departments and the central timetabling team. Under the direction of Head of Academic Resourcing. The postholder is responsible for gathering and validating curriculum data, scheduling teaching activities, resolving timetable conflicts, and ensuring timetable accuracy and consistency. The role aims to minimise disruption for staff and students while optimising the use of institutional resources.

Key Activities and Responsibilities

Main Responsibilities – Timetable and Room Booking Specific

  • Deliver a high-quality teaching and exam timetable to all students and academic staff across designated schools and services by proactively understanding their requirements and aligning them with the overall university timetable plan.
  • Provide timetabling and room booking support across all three LCCA schools – Foundation, Social Sciences, and the Creative School, ensuring consistent service standards and equitable allocation of resources.
  • Lead regular meetings with programme leaders, and academic staff to collate information, guide colleagues through scheduling processes, and advise on timetable procedures.
  • Act as the first point of contact for all timetable and room booking queries from allocated schools and services. Respond to issues in a timely manner, ensuring stakeholders are informed of progress and escalating where necessary.
  • Lead on collecting and analysing data from various systems (Student Information Systems, Timetabling System, Room Booking Platforms) to create a high-quality, accurate timetable.
  • Act as a business partner to assigned schools, negotiating timetable changes and managing requests from senior academic staff often under pressure or in sensitive circumstances.
  • Analyse detailed reports based on student enrolments, forecasts, and programme structures. Apply analytical and judgement skills to make decisions that best support the student experience while handling complex and confidential data.
  • Develop and maintain an in-depth understanding of the school’s programmes, in conjunction with a strong knowledge of timetabling and student information systems.

Key Responsibilities (General)

  • Act as the dedicated contact for assigned academic departments.
  • Collaborate with academic and administrative staff to understand delivery models, teaching requirements, staff availability, and constraints.
  • Collect, validate, and input data relating to curriculum, teaching schedules, and staff/student availability.
  • Use timetabling/room booking software to schedule academic activities such as lectures, seminars, workshops, and tutorials.
  • Maintain timetables throughout the academic year, ensuring they reflect changes in curriculum and departmental needs.
  • Liaise with academic and administrative colleagues to implement timely and student-focused solutions.
  • Escalate unresolved or complex issues to the Head of Academic Resourcing with proposed resolutions.
  • Align teaching activities with available rooms and resources across LCCA campuses.
  • Work collaboratively with Senior Management team to ensure efficient use of physical teaching spaces and resolve allocation issues.
  • Provide accurate and timely timetable information to staff, students, and support teams.
  • Communicate changes promptly and help manage their impact on stakeholders.
  • Offer first-line support for timetable-related enquiries and issues.
