We’re looking for an organised, detail-focused and student-orientated Academic and Admissions Officer to join the Academic Office at St Antony’s College. This is a full-time role (35 hours per week), with a salary of £30,378 to 35,608 gross per year plus an annual Oxford weighting allowance of £1,730.

Reporting to the Academic Services Manager, you will support the full student lifecycle, with a particular focus on delivering the graduate admissions cycle and ensuring high-quality academic and student administration.

About the role

You will manage graduate admissions and contribute to on-course student administration, working as part of a small, collaborative team. You will ensure processes run smoothly, deadlines are met, and students and applicants receive a professional, consistent service.

Key responsibilities

Admissions and start of year

  • Manage day-to-day graduate admissions processes
  • Act as a key contact for admissions enquiries
  • Process applications and record decisions accurately
  • Prepare offer packs and support applicant communications
  • Track offers, acceptances and withdrawals, producing reports
  • Coordinate pre-arrival activity, enrolment and Welcome Week
  • Support matriculation and maintain accurate student records
  • Ensure UKVI compliance, including right-to-study checks
  • Liaise with University teams and support scholarship administration

Student administration

  • Respond to enquiries from applicants, students and graduands
  • Prepare standard documentation (status letters, transcripts)
  • Maintain accurate student records in line with data protection
  • Support enrolment, examinations and graduation processes
  • Contribute to student communications and website updates
  • Assist with scholarships, grants and Academic Office projects

Some evening or weekend work is required during peak periods.

About you

Essential:

  • Strong communication and customer service skills
  • Excellent organisational skills and attention to detail
  • Confidence working with data and advanced IT skills (including Excel)
  • Ability to prioritise, work independently and remain calm under pressure
  • Sound judgement and discretion with sensitive information
  • Understanding of data protection requirements
  • Flexible and team-focused approach

Desirable:

  • Degree or equivalent experience
  • Experience in Higher Education or student administration
  • Experience using systems such as eVision or GSS
  • Experience producing reports or management information
